JOB PURPOSE:

The Grant/Contract Accountant will provide financial oversight/analysis for the efficient billing and financial evaluation of their assigned grants/contracts. The Grant/Contract Accountant will be responsible for accurate and timely preparation and submission of grant/contract invoices to comply with the invoicing requirements as outlined by each grant/contract.

This role requires a highly detail-oriented self-starter who can work independently but who is also a good team-player. This individual will need to be able to pick things up quickly and be able to meet strict deadlines while managing multiple tasks.


Qualifications

ESSENTIAL JOB RESPONSIBILITIES:



  • Become familiar with grant/contract requirements and what expenses are allowed under the agreement
  • Meet all billing deadlines
  • Evaluate all expenses in grant/contact ledger for allowable costs in accordance to grant/contact requirements and CFR Part 200, Uniform Guidance
  • At the time of billing, reconcile billed/unbilled expenses between allowable and unallowable costs
  • Maintain database of unbilled costs
  • Evaluate those costs each billing cycle to determine if past unbillable expenses can be included in current invoice
  • Determine how to resolve any unbilled amounts, prepare accruals or reclassifications as necessary
  • Investigate unbilled differences and advise leadership of types of expenses that are not billable. Notify grant/contract leadership of any invoiced expenses denied by the awarding agency and the reason for the denial
  • Maintain grant/contract budget monthly at the time of billing and advise grant/contract leadership when budget limits are approaching
  • Communicate unbilled expenses to grant/contract leadership. Keep leadership advised of program's financial status
  • Be familiar with expected grant/contract profit margin and monitor billing each month to compare current month margin to expected margin. Identify costs that contribute to variance and suggest corrections
  • Research any errors in expense coding pertaining to grant/contract and determine the corrections needed to be made. Prepare journal entries to correct errors
  • Meet regularly with grant/contract leadership to review the monthly spending plans and reports
  • Coordinate with Finance staff to verify grant monies received are deposited to proper accounts
  • Assist with month end closing process with rapid responses and updates to assist with timely issuance of monthly financial statements for grants/contracts.
  • Review monthly financial statement for assigned grants/contracts for accuracy. Correct any identified errors
  • Notify appropriate personnel when grant/contract has ended to prevent expenses recorded to the grant/contract ledger after it ends
  • Coordinate, oversee, compile supporting documentation for financial audits for various grant/contracts
  • Assist in other projects or duties as assigned

ESSENTIAL QUALIFICATIONS:

EDUCATION: Bachelor's degree in Accounting or Finance. Training in nonprofit accounting and grant administration preferred. Associate degree is acceptable with relevant experience.

EXPERIENCE: Minimum 3-5 years' experience in a related field, multiple location accounting experience preferred; nonprofit accounting, consolidations, working with an institution subject to Uniform Guidance, and grant administration preferred.

ATTENDANCE: Must maintain regular and acceptable attendance at such level as is determined in the employer's sole discretion.

LICENSES: Driver's License with clear record.

VEHICLE: Must have daily use of a vehicle without prior notice.

OTHER: Must be available and willing to travel to various locations and with such frequency as the business need dictates.
