Job Summary:

The Program Assistant, either in person or on the phone, is the first contact for many students and employers, answering their questions or referring them to the proper person in the office. The Program Assistant also assists with various aspects of student- and employer-facing programming, including marketing, set-up and administration of off-campus job fairs and large receptions.

Target hiring range for this position will be between $22.79 to $23.02 per hour. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.

Specific Responsibilities:

  • Assist Assistant Director of Employer Relations with On-Campus Interviews, off-campus interview programs, and other programs, including room reservation, ordering food, speaker/employer check-in, pre-program preparation and day-of setup, logging and organizing all event-related materials, and photographing events.
  • Assist counseling staff with special projects including creation of employer databases, updating job postings in existing databases, drafting external communications to students and employers, helping in the administration of specialty job fairs for tax and international LL.M. students, and helping with various mock interview programs.
  • Responsible for greeting and assisting all customers of the Career Strategy Center. Handle all reception duties, including greeting and assisting, in a professional manner, all constituents of the office (including students, alumni, employers, and vendors); answering and directing phone calls; scheduling appointments for students with the counselors; delivering mail, filing, and assisting with copying and scanning responsibilities.
  • Assist with special projects and other duties as assigned.

Minimum Qualifications: (Education, experience, and any other certifications or clearances)

  • High school diploma or the equivalent combination of education, experience, and training from which comparable skills can be acquired.
  • Customer service mentality and a friendly demeanor.
  • Previous work experience in an administrative or reception capacity.
  • Excellent organizational, prioritization, time management, and attention to detail skills.
  • Strong communication skills, both written and verbal.
  • Proficiency with Microsoft Office (including Word, Excel and PowerPoint), mail merging, and databases.
  • Must be able to work as a team player.

Preferred Qualifications: (Education and experience)

  • Bachelor's degree.
  • Minimum of 2 years of work experience.
