Payroll Specialist

Under the supervision of the Payroll Manager, the Payroll Specialist will play a key role in ensuring the accuracy of the College's bi-weekly and monthly payrolls. The Payroll Specialist will manage the student payroll function including monitoring Federal Work Study awards and keeping track of hours worked; work with Human Resources coordinating setup of all new hires and benefit changes; work with the Provost's Office on faculty payroll information; and act as the back-up to the Payroll Manager upon their absence.

Essential Functions:

1. Bi-Weekly & Monthly Payroll
  • Responsible for data entry of College-wide master control data, which includes employee information for students, staff, and faculty new hires and changes;
  • Assist with monthly faculty, bi-weekly staff, and student payroll processing;
  • Validate hours and earnings from Academic Affairs and ADP's Time and Attendance;
  • Work with Accounting on the bi-weekly and monthly payroll uploads to the College's finance system.
  • Responsible for the management of sensitive information by ensuring accurate filing and disposal.

2. Student Employment
  • Responsible for tracking and monitoring Federal Work-Study award balances throughout the academic year, working closely with the Director of Financial Aid;
  • Assist with training managers on compliance with student employment including time and attendance reporting and budget expense reporting;
  • Report on student earnings for Federal Title IV requirements;
  • Research and implement applicable taxation requirements upon hiring of international students;
  • Communicate adjustments to the Accounting Office, to ensure accurate financial reporting.
  • Act as a member of the College's Student Employment Committee.

3. Other Duties and Special Projects:
  • On an as needed basis, assist the Finance Office in processing various disbursements and vendor invoices;
  • Manage the employee expense reimbursement process including exploring reimbursements through payroll.
  • Conduct verifications of employment for all external agency requests;
  • Assist in training managers, staff, and students in using timesheet software;
  • Update and maintain Payroll Policies and Procedures manuals;
  • Work with Payroll Manager to identify opportunities for process and control improvements;
  • Assist Payroll Manager with financial reports and other special projects.

Additional Functions:
  • Respect and maintain confidentiality, parameters of operation, professional protocols, and individual privacy.
  • This role will back up day-to-day responsibilities and duties of the Payroll Manager, in their absence. Perform other duties as assigned by supervisor.


Job Requirements:
Essential Characteristics:

Minimum Qualifications:
  • Associate's degree in Finance, Business, or related discipline;
  • Minimum of 2-3 years in a similar role; knowledge of multi-state payroll a plus;
  • Prior experience with payroll systems, working knowledge of all federal and state taxes and regulations, in particular student employment;
  • General understanding of the Disbursements process;
  • Proficiency in Microsoft Office Suite, especially Excel, ADP WorforceNow and ADP Time and Attendance preferred.

Preferred Qualifications:
  • Experience with payroll system integrations;
  • Experience working with Ellucian Banner;
  • Experience working in higher education.

Salary Range:

$28.00-29.50 hourly
