PRIMARY PURPOSE/GENERAL DESCRIPTION:

Reporting to the Facilities Office Manager, the Facilities Systems Coordinator will be responsible for the implementation and support of the CMMS (Computer Maintenance Management System) and will manage energy efficiency activities for Scripps College.The incumbent will be responsible for ensuring that all work orders and tasks are aligned with the most current regulatory standards, codes and requirements.

DESCRIPTION OF DUTIES AND RESPONSIBILITIES:

ESSENTIAL FUNCTIONS:

  • Organize, maintain, coordinate and manage the department's CMMS (FAMIS 360).
  • Oversee and/or support processing of Facilities work orders including receipt, coordination, clarification, input, tracking and prioritization.
  • Responsible for ensuring parts and purchasing data is entered into CMMS system accurately and efficiently.
  • Performs regular data analysis on parts/assets and recommends process changes.
  • Work alongside internal teams and vendors to record current and outdated assets.
  • Troubleshoot any issues with CMMS
  • Work with CMMS programmers to implement system updates.
  • Organize, maintain, and coordinate department access in Transact.
  • Plan, regulate, and monitor energy use throughout the College to provide leadership and guidance in developing and implementing energy efficiency action plans.
  • Understand and leverage utility energy efficiency rebate and incentive programs to ensure Scripps College seeks all financial opportunities and lowers energy usage and costs through efficiency.
  • Generate work order reports to the Director of Facilities and managers highlighting high and low volumes of service requests.
  • Review key control software with current data reports of keys in circulation and generate routine audits.
  • Assist with CMMS related App when users experience glitches related to access.
  • Create instructional aids on CMMS software end user navigation for campus community
  • Partner with departments to create Transact access schedules that meet the needs of their work environment.
  • Support in-office staff with administrative processes related to vendor relations.
  • Performs other essential duties and tasks specific to the position.
  • Active support for the College's Principles of Community and Principles of Diversity in the performance of job duties.

REQUIRED KNOWLEDGE, SKILLS, ABILITIES:

Individuals must possess knowledge, skills and abilities to successfully perform the essential functions of the position, or be able to explain or demonstrate how the essential functions will be performed, with or without reasonable accommodation, using some other combination of skills and abilities.

  • Experience with the Leadership in Energy and Environmental Design (LEED) guidelines for new building construction, major renovation and existing buildings.
  • Extensive professional technical experience in energy and/or utility management, engineering or equivalent experience in developing and implementing resource efficiency.
  • Technically proficient in use of Microsoft Office Products: Excel, Word, Access
  • Strong overall systems experience including solid understanding of CRM systems
  • Financial acumen with strong attention to detail coupled with excellent analytical skills
  • Customer service oriented with strong verbal and written communication skills
  • Good organizational skills with ability to multi-task and prioritize
  • Flexible and adaptable to policy changes and work flow
  • Ability to work within a team as well as independently
  • Technical experience in energy and/or utility management, engineering or equivalent experience in developing and implementing resource efficiency.
  • Knowledge of applicable laws, regulations, policies and industry standards pertaining to energy and related environmental compliance.
  • Analytical and financial skills with the understanding of electrical utility rate structure, tariffs, and energy accounting to review energy performance and spending metrics to reduce energy and utility spending waste.
  • Knowledge of leading edge energy efficiency processes as it relates to a reduction in greenhouse gas emissions.

QUALIFICATION STANDARDS:

EDUCATION & EXPERIENCE:

Bachelor's degree in Mechanical, Electrical or Industrial Engineering, Data Science/Analytics, Information Systems, or any combination of education, training, or experience that provides the required knowledge, skills, and ability to perform the job.

2-3 years' experience in a data management and customer service environment is preferred.

HOURS & CLASSIFICATION AND STATUS:

This is a regular status, full-time, benefits-eligible, non-exempt position.

The regular hours for this position are Monday-Friday 8:00am-5:00pm.Hours may vary due to the needs of the department or College.

Hourly rate range: $25.00-$31.00. The hourly rate of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty, andtraining.

SUPERVISORY RESPONSIBILITY:

None.
