SUMMARY:

This position provides a wide variety of administrative and functional support for management committee meetings, Bank-wide projects, strategic planning, technology roadmap and other areas as requested. Serves as staff to the Information Technology Governance Committee, including preparing meeting materials, tracking follow-up items and maintain logs & trackers. Assists with project documentation and other tasks for Bank-wide projects as assigned. Must be flexible with the ability to multi-task on competing priorities, while maintaining attention to detail and meeting established deadlines. Other duties supporting HQ5 Operations, Facilities and Corporate Security initiatives and projects may be assigned.

ESSENTIAL JOB FUNCTIONS & RESPONSIBILITIES:



  1. Provides assistance for corporate meetings- including preparing agendas, gathering, preparing and distributing materials. Supports functional aspects of meetings.
  2. Works as part of a team, providing support for special nonrecurring and ongoing projects for projects managed by others. Assists preparation and drafting of status updates and other reports for special projects as assigned. Assists with taking minutes and tracking follow-up items for project teams as assigned. May include coordinating multiple cross-functional tasks and disseminating information.
  3. Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy, along with ensuring satisfactory appearance of final materials for presentation to senior management and others.
  4. Assists with research projects, analysis and preparation of presentations and reports as requested.
  5. Serves as system and user administration for applications as requested.
  6. Drafts presentations
  7. Provides back-up assistance and support for other department functions as requested.
  8. Performs other tasks as assigned.



EDUCATION & CERTIFICATIONS: (Minimum education required to perform the duties of this position)



  • Bachelor's degree or equivalent experience required.
  • Master's degree in business or related field a plus.



KNOWLEDGE, SKILLS & ABILITIES:



  • Prior administrative support and/or project support experience highly desired.
  • Proven self-starter with ability to complete tasks independently.
  • Proven ability to work collaboratively as part of a team in a deadline driven environment.
  • Strong knowledge of MS Office 365 products and the proven ability to quickly learn new software and applications.
  • Ability to prioritize workload and multi-task while maintaining attention to detail and seeing tasks and projects through to their completion. Strong organizational skills.
  • Exceptional interpersonal skills, positive attitude, sense of humor and team mentality.
  • Ability to demonstrate creativity, innovation, and sound business judgement.
  • Excellent written and verbal communication skills. Ability to handle sensitive information and maintain confidential material.
  • Project management knowledge a plus.
  • Provides off-hour support occasionally as needed (Monday-Friday)
