JOB DESCRIPTION



Job Title: Facilities & Logistics Assistant (Union) Status: Full-Time (37.5 hours)

Department: Organizational Collaboration (Facilities) Grade: 24

Date Updated: 02/10/2025 FLSA Status: Non-Exempt


SUMMARY

Position provides support activities related to office building and grounds maintenance and is the primary person responsible for meeting room/event and coordination set up in the Volunteer Center, Brengel Center, and Waukesha office. This position also supports the coordination of supply deliveries, product pick-ups, and operations/warehouse space organization. This position reports to the Vice President of Organizational Collaboration and works in partnership with the Building Superintendent and Office Manager.

RESPONSIBILITIES

Include the following but are not limited to:

BUILDING AND GROUNDS CUSTODIAL SERVICES

  • Performs custodial, cleaning, and basic maintenance duties, including quarterly deep cleaning as needed.
  • Responsible for United Way meeting room and event set ups - such as moving and breaking down furniture based on meeting or event coordinator requests.
  • Monitors meeting room furniture and equipment for needed attention, cleaning and/or repair.
  • Accepts deliveries and facilitates product donation pickups at the lower level of Milwaukee office and Waukesha warehouse.
  • Works with Building Superintendent to maintain orderly/safe condition of and systematic operations within office locations and building grounds. Routinely monitors and walks the office space and grounds to identify tasks for attention.
  • Assists with detailed snow shoveling and salting to ensure employee and guest safety.
  • Performs maintenance and minor repairs and support to maintain aesthetics, functional conditions, and employee safety, including painting.
  • Cleans and polishes fixtures, glass door inserts, and furniture as needed.
  • Leads corporate recycling, document shredding and garbage/trash collection and removal (bundling, processing, etc.)
  • Provides direct housekeeping services, as requested and outside of current cleaning service vendor responsibilities.
  • Monitors the condition of building grounds and general grounds maintenance such as trash control, sidewalk cleaning, parking lot control/cleaning, exterior lighting, and landscaping. Walk the grounds weekly to pick up debris and litter and properly dispose.


  • Maintains and stocks appropriate meeting and employee lunchrooms with supplies including coffee products, kitchen supplies, soda, bottled water, and paper products.
  • Monitors restroom supplies and refills as needed.
  • Provides corporate pick-up and delivery services utilizing the organization's cargo vans.
  • Fills organizational vehicles with fuel when needed/requested. Cleans cargo vans inside and out on a regular basis.
  • Supports annual employee safety communications and drills.
  • Completes Operations Ticket assignments.
  • Other duties as assigned.



EXPECTED OUTCOMES

  • In collaboration with facilities staff team members, United Way's facilities, equipment, and grounds are maintained in a professional manner and a safe and inviting work environment is created.


CORPORATE SUPPLY/STORAGE ROOM ASSISTANCE



  • Provide loading dock services including fork truck operation.
  • Maintain organization and cleanliness of stock/storage area.
  • Provide storage, retrieval, and disposal services for temporary and permanent organization files.
  • Receive and document deliveries of supply items.
  • Order supplies of coffee, paper goods, soda and other housekeeping items, as needed.
  • Organize Annual Campaign and Volunteer Engagement materials/supplies in Operations storage area.
  • Inventory and sort supplies and in-kind donations as needed.



EXPECTED OUTCOMES

Maintains orderly, uncluttered loading dock and supply room area, including stock inventory of supplies required.

SUPERVISORY RESPONSIBILITIES

This job has no supervisory responsibilities.

EDUCATION & EXPERIENCE REQUIREMENTS

High school diploma or general education diploma (GED); up to six months related experience in stockroom and physical inventory/stocking procedures, light maintenance preferred and/or vocational training; or equivalent combination of education and experience. Working knowledge of metropolitan area for pick-up and delivery. Forklift certification required.

ADDITIONAL SKILLS & COMPETENCIES

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. Clean driving record and valid Wisconsin driver's license, ability to follow directions and initiate action with a minimum of supervision, positive approach in working with various colleagues and customers. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Ability to apply common sense understanding to conduct simple one- or two-step instructions.

  • While performing the duties of this job, the employee is occasionally required to sit; climb or balance; and stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 20 pounds and occasionally lift and/or move up to 50 pounds.
  • Ability to climb ladders and work at particular heights.
