Position Overview

We are seeking an experienced Senior Administrative Assistant to provide high-level administrative support to a fast-paced apparel team. This is a leave-coverage contract supporting a hiring manager and approximately 2-3 additional team members with calendar management, travel coordination, expenses, meetings, and day-to-day administrative needs.

The ideal candidate is highly organized, resourceful, detail-oriented, and comfortable managing multiple priorities in a dynamic environment. This person should have a strong customer-service mindset, excellent follow-through, and the confidence to ask questions when needed while independently solving problems whenever possible.

What You'll Do



  • Manage complex calendars, including scheduling meetings, resolving conflicts, coordinating across multiple stakeholders, and anticipating scheduling needs.
  • Coordinate domestic travel arrangements, including flights, accommodations, transportation, itineraries, and related documentation.
  • Prepare and process expense reports and assist with budget tracking, invoices, and purchase orders.
  • Coordinate meetings, team events, offsites, and other activities, including scheduling, agendas, catering, logistics, and reminders.
  • Serve as a key administrative point of contact for the team and provide responsive, professional support.
  • Create, edit, format, and organize documents, presentations, organizational charts, meeting materials, and team communications.
  • Develop and update presentations using PowerPoint and/or Keynote.
  • Draft or edit communications under leadership direction and coordinate distribution as needed.
  • Support special projects by helping organize deliverables, track progress, and ensure deadlines are met.
  • Assist with workspace planning, equipment moves, and other operational needs.
  • Help support team culture through staff meetings, team-building activities, offsites, and other team initiatives.
  • Provide administrative coverage for other leaders when temporary needs arise.
  • Handle sensitive and confidential information with professionalism and discretion.

  • 3+ years of administrative support experience.
  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills.
  • Exceptional organization, attention to detail, and follow-through.
  • Demonstrated ability to manage calendars and coordinate multiple priorities.
  • Ability to work effectively with a variety of personalities, including senior-level leaders.
  • Comfortable working in a fast-paced, results-oriented environment where priorities may shift.
  • Resourceful and proactive approach to problem-solving.
  • Ability to work independently while also collaborating effectively within a team.
  • Strong judgment and ability to appropriately handle confidential or sensitive information.
  • A positive, can-do attitude with a team-first, low-ego approach.
  • Comfortable asking questions when clarification is needed while taking initiative to find solutions independently.
  • No specific degree required; any suitable combination of education, experience, and training will be considered.


Technical Skills

Required:



  • Microsoft Outlook
  • Calendar management
  • Microsoft Office, including Word and Excel
  • Zoom and/or Microsoft Teams


Preferred:



  • PowerPoint
  • Keynote
  • Experience tracking budgets, expenses, or purchase orders
  • Experience with AI productivity tools such as ChatGPT or Microsoft Copilot
  • Previous experience supporting teams within apparel, retail, consumer products, or a similar fast-paced corporate environment

They will be comfortable navigating ambiguity, balancing competing priorities, and supporting multiple team members without losing sight of deadlines or details.
