We are seeking a highly organized and proactive administrative professional to step into a pivotal role, providing essential support that directly enables multiple teams to achieve their goals. What You'll Do



  • Provide comprehensive administrative and operational support to a dedicated group, ensuring daily tasks and long-term projects are executed flawlessly.
  • Coordinate and manage meetings and events, from scheduling to logistics, ensuring all participants are well-prepared and engaged.
  • Assist with financial and personnel operations, including purchasing and facility management, to maintain an efficient and well-resourced environment.
  • Lead and contribute to key projects focused on workspace and space management, optimizing organizational resources and floor plans for maximum productivity.
  • Support employee engagement initiatives, such as community giving campaigns, fostering a positive and collaborative team culture.
  • Act as a key enforcer of team policies and procedures, ensuring compliance and operational consistency across the group.
  • Undertake special projects as assigned, demonstrating adaptability and a proactive approach to evolving business needs.


What You'll Bring



  • 2-4 years of administrative experience in a fast-paced, demanding environment.
  • Prior experience supporting the client's workplace environment is strongly preferred and required.
  • Demonstrated relevant workplace knowledge and skills.
  • Highly effective communication skills, capable of interacting professionally with diverse individuals and teams.
  • Strong project management skills, with the ability to manage multiple priorities and deadlines.
  • Exceptional customer service orientation and a willingness to assist team members.
  • Meticulous attention to detail and strong organizational skills are essential.
  • Experience supporting remote and global teams.
  • Proficiency with current versions of MSOffice, including Outlook, Excel, and PowerPoint, for email, scheduling, word processing, spreadsheets, and presentations.
  • Ability to lift up to 30 lbs may be required.

  • Demonstrated experience supporting senior executives and their teams, including managing complex executive calendars.
  • Proven ability to navigate and appropriately challenge requests to ensure compliance with company policies and organizational practices.
  • Experience collaborating effectively with administrative teams supporting large organizations.
  • A track record of independently managing projects with minimal oversight.
  • Exceptional time management skills with a proven ability to meet deadlines consistently.
  • Experience providing calendar coverage and support for other executive assistants during absences.
