Job summary

The Operations Coordinator supports international billing and campaign operations within a marketing acquisition and campaign services team. This role involves assisting with billing, vendor operations, creative requests, and collaborating with internal and external teams across multiple regions.

Responsibilities



  • Assist in creative requests related to media plans.
  • Collaborate with international marketing and content teams to track available content by region.
  • Submit requests for creatives for media campaigns.
  • Monitor task progress, update project boards, and run daily stand-ups or status meetings.
  • Maintain team billing tracker and related financial documents.
  • Work with vendors and internal teams to resolve billing discrepancies and onboarding requests.
  • Proactively address ad hoc requests regarding payment status and vendor information.
  • Respond to emails and inquiries promptly to avoid escalation.
  • Initiate meetings with internal teams and external partners to ensure billing processes are followed.
  • Maintain relationships with Marketing Strategy, Financial Planning & Analysis, Procure to Pay, and other teams to ensure accurate information flow.
  • Onboard new vendors for media activation.
  • Communicate and troubleshoot payment and remittance issues with internal teams and vendors such as Google, Amazon, and Meta.


Qualifications



  • 1+ years of experience in billing marketing operations, campaign operations, or media agency experience, preferably in an in-house corporate environment or agency.
  • Exceptional organizational skills and a detail-oriented mindset.
  • Ability to communicate clearly with diverse internal departments.
  • Experience with submitting invoices/billing is a plus.
  • Familiarity with organizational software such as Asana or Airtable is beneficial.


Schedule



  • On-site full time, 9:00 AM to 6:00 PM Eastern Time.


Location



  • On-site in New York, NY.

  • The role involves working with team members across the U.S. and Canada, supporting virtual collaboration and onsite teamwork in New York City.
