Job Title: Family Services Representative & Corps Administrative Assistant FLSA Status: Part-Time - non-exempt Reports to: Corps Officer Schedule: Part-time, 29 hours per week; schedule may flex for business necessity Supervises: Volunteers as assigned; Directly reports to Corps Officer Rate of Pay: $18.50-$20.00 hourly Closing Date: 10/1/2026 Benefits: Standard; Part-Time, Non-Exempt employees are eligible for but not limited to the following:
- Sick leave benefit - 1 day per month, 12 sick days per year (accrual and availability begins at hire and pro-rated based on number of hours worked per week)
- Vacation benefit - 10 vacation days per year, accrued at the rate of .0385 hours for each hour worked, excluding overtime (accrual begins at hire but may not be used until the completion of six months of employment) and pro-rated for number of hours worked per week.
- Pension Plan (after one year of continuous service working at least 21 hours per week).
Position Summary The Fort Collins Family Services Representative/Corps Administrative Assistant supports Family Services, administrative and clerical operations, the Choice Food Pantry and Clothes Closet, donation and financial processing, facilities, and community and volunteer programs of The Salvation Army Fort Collins Corps. The employee works closely with the Corps Officer, carries out routine duties within established Salvation Army policies and approved procedures, maintains accurate and confidential records, and promptly refers matters requiring supervisory direction or additional intervention. When appropriate, the employee may coordinate with the Loveland Service Extension Center to support or refer Family Services requests that exceed available Fort Collins capacity or resources. Qualifications
- High school diploma or GED required.
- Some college coursework preferred.
- One to two years of experience in a social service setting preferred.
- Proficient in Microsoft Office and able to use standard office equipment, including phones, copiers, scanners, and related devices.
- Demonstrated professional communication, organization, prioritization, multitasking, ability to work well under pressure, adaptability, self-direction, and ability to work independently.
- Ability to work respectfully with people from diverse backgrounds and circumstances while maintaining a nonjudgmental approach, professional boundaries, and a courteous demeanor.
- Must successfully pass a criminal background check.
- Must be at least 21 years old, possess a valid Colorado driver's license, and maintain a clean driving record.
- Must be able to drive a Salvation Army vehicle for authorized work duties and complete The Salvation Army's Fleet Safety e-learning module.
Background Check Continued employment will be contingent upon a biennial (every two years) background check that is processed in accordance with The Salvation Army's policies. Essential Responsibilities Family Services
- Aid individuals and families seeking food, rental, utility, propane, clothing, emergency, and other available services in accordance with established policies and available resources.
- Schedule appointments, assist walk-ins and telephone/remote requests, review documentation, explain procedures, provide referrals, and maintain appropriate professional boundaries and confidentiality.
- Assess client needs and situations and promptly refer matters requiring supervisory direction or additional intervention to the Corps Officer.
- Maintain accurate and timely WellSky records, including client information, appointments, case notes, referrals, services, assistance, and outcomes; review records for missing, duplicate, outdated, or inaccurate information.
- Complete required partner reports and weekly submissions accurately and on time.
- When appropriate, coordinate with the Loveland Service Extension Center to support or refer Family Services requests that exceed available Fort Collins capacity or resources.
Administration & Corps Support
- Provide routine administrative and clerical support for Corps programs and operations, including answering phones, responding to emails, scheduling appointments, maintaining calendars and records, preparing correspondence and reports, and assisting with meetings and mailings.
- Maintain organized electronic and paper records, contact lists, schedules, and other administrative files.
- Monitor office, program, janitorial, and event supplies and request standard supplies through approved procedures.
- Receive and document deliveries, maintain the key log, and keep facility signage and program information current.
- Keep the Corps Officer informed of deadlines, service needs, property concerns, community opportunities, and significant operational issues.
Food Pantry, Clothes Closet & Donations
- Support operation of the Choice Food Pantry and Clothes Closet, including client assistance, food-order pickups, receiving and organizing donations, stocking and rotating inventory, and maintaining clean, orderly storage areas.
- Monitor inventory, identify shortages or unsuitable/expired donations, and report significant needs or concerns to the Officer in Charge.
- Coordinate approved donation pickups and maintain appropriate donor and donation records.
- Coordinate and assign routine volunteer duties in accordance with approved schedules and direction.
Financial & Donation Processing
- Assist the Corps Officer with routine banking, white mail, donation processing, deposits, and financial recordkeeping in accordance with Salvation Army policies and required internal controls.
- Process and document donations, receipts, deposits, invoices, expenditures, and other routine Corps transactions; assist with reconciliations and financial reports as assigned.
- Safeguard donor and financial information and promptly report discrepancies, missing documentation, unusual transactions, or other financial concerns to the Corps Officer.
Facilities, Community & Program Support
- Help maintain a clean, safe, organized, and professional Corps environment and report maintenance, safety, security, or repair concerns to the Corps Officer.
- Coordinate authorized vendor appointments and maintain basic records of scheduled repairs and property-related activities.
- Support approved community, volunteer, and seasonal programs and events, including volunteer coordination, supplies, family/client records, and other assigned logistics.
- Serve as a professional point of contact with community organizations, churches, businesses, donors, volunteers, and service providers as directed.
- Perform other related duties as assigned by the Corps Officer.

The employee will maintain confidentiality, adhere to required internal controls, accurately complete records, manage competing priorities, and communicate professionally with clients, donors, volunteers, vendors, and community partners. The employee will support The Salvation Army's mission, represent the Fort Collins Corps positively, comply with all applicable policies and supervisory direction, and perform other related duties assigned by the Corps Officer. - The employee must be 21 years old at a minimum (for insurance provision) and possess a valid in-state driver's license
- An MVR will be processed every year in accordance with The Salvation Army's policies
Background Check

Physical Ability to maneuver, to remain in a stationary position, to grasp, push, pull, and reach overhead, to lift 25 pounds, to access and produce information from the computer, to operate a telephone, to understand written information.
