The Conference Services and Audio-Visual Operations Lead is responsible for planning, coordinating, and overseeing conference services, collaboration center operations, special events, and audiovisual support. The position independently evaluates service requirements, establishes work priorities, coordinates resources, resolves complex operational issues, and recommends improvements to meeting technology and service delivery. This role exercises discretion and independent judgment on matters of operational significance and may serve as the backup to the Site Lead as needed.

Key Responsibilities:



  • Plan and oversee conference room scheduling, event support, collaboration center services, and audiovisual operations to meet customer and contract requirements.
  • Assess meeting and event requirements; determine room configurations, technology solutions, staffing needs, timelines, and service priorities.
  • Coordinate and direct the setup and operation of conference rooms, training rooms, and event spaces, including furniture, podiums, microphones, projectors, displays, sound systems, lighting, and related equipment.
  • Provide technical leadership during high-profile or complex meetings and events, troubleshoot escalated issues, and determine appropriate corrective actions to minimize service disruption.
  • Develop, implement, and maintain operating procedures, service standards, preventive maintenance schedules, inventories, and records for conference and audiovisual services.
  • Monitor room technology and service performance; analyze recurring issues and recommend equipment, process, or resource improvements.
  • Coordinate maintenance, repairs, upgrades, and technical support with IT personnel, vendors, facilities staff, and other stakeholders.
  • Manage special-event logistics and serve as the primary point of coordination for customers, internal teams, and external service providers.
  • Provide guidance, work direction, and technical support to assigned personnel; review work for quality, timeliness, and compliance with established requirements.
  • Exercise discretion in adjusting schedules, assigning priorities, resolving customer concerns, and responding to unexpected operational requirements.
  • Prepare service reports, status updates, equipment recommendations, and other documentation for management and customer review.
  • Serve as the backup to the Site Lead as needed, including coordinating daily site operations, communicating priorities, addressing service issues, and supporting continuity of contract performance.
  • Support other contract functions when operational priorities require, consistent with the position's managerial and administrative responsibilities.



Minimum Qualifications:


  • Minimum 5 years of audio-visual setup and support experience.
  • Minimum 5 years of special events management and room setup experience.
  • Experience operating modern audiovisual technologies and telecommunications equipment.
  • Ability to troubleshoot and maintain AV systems.
  • Experience with conference room reservation systems.
  • Ability to inspect and maintain AED units.
  • Strong customer service and communication skills.
