Contracts Administrator
Supports the administration of government and commercial contracts throughout the contract lifecycle, from proposal development through contract closeout. This role works closely with Contracts, Business Development, Program Management, Finance, and Operations to ensure contractual compliance, maintain accurate documentation, and support successful contract execution. The ideal candidate is detail-oriented, eager to develop expertise in government contracting, and able to effectively manage multiple priorities in a collaborative environment while building knowledge of federal acquisition regulations and corporate contracting practices.

Primary Duties/Responsibilities:

  • Serve as a key member of proposal teams by reviewing complex solicitations and preparing specialized responses for proposals, bids, contract modifications, and other contractual actions.
  • Analyze contract requirements, special provisions, terms, and conditions to ensure compliance with applicable laws, regulations, corporate policies, and business procedures.
  • Develop negotiation strategies and lead negotiations on simple to complex contractual matters while providing sound contractual guidance to internal stakeholders.
  • Draft, review, and negotiate mid- to high-level contractual documents consistent with company policies, customer requirements, and applicable regulations.
  • Communicate contract policies, procedures, and best practices to program teams, business development, finance, and other internal organizations.
  • Prepare, organize, and maintain complete contract files and documentation to support contract performance, compliance, and audit readiness.
  • Provide guidance to internal business teams and junior contracts staff on contractual, financial, legal, and compliance-related matters to facilitate issue resolution.
  • Research changes to laws, regulations, and industry trends to assess potential impacts on company operations, contracts, and compliance requirements.
  • Collaborate with senior contracts professionals and cross-functional teams to resolve contractual issues and support successful contract execution.
  • Review solicitations and prepare contractual responses for proposals, bids, modifications, and other customer requests.
  • Utilize Deltek Costpoint to support contract budgeting, financial tracking, and contract administration activities.
  • Maintain and track Contract Data Requirements List (CDRL) submissions and ensure timely delivery of all required contract deliverables.
  • Partner with Operations and Program Managers to support monthly contract status reporting and financial reviews.
  • Perform quality assurance reviews of invoices to ensure compliance with contractual requirements prior to submission.
  • Verify contract funding availability and prepare financial documentation to monitor contract performance and support forecasting activities.
  • Execute contract closeout activities in accordance with customer requirements and company procedures.
  • Conduct contract kickoff meetings and document meeting agendas, action items, and minutes.
  • Prepare, coordinate, and administer Non-Disclosure Agreements (NDAs), Teaming Agreements, Subcontracts, and Reseller Agreements.
  • Perform other duties as assigned.

Qualifications/Skill and Knowledge:

  • Associate degree with 5-7 years of relevant contracts administration experience, or a Bachelor's degree with 3-5 years of relevant experience; an equivalent combination of education and experience may be considered. This requirement may be waived by management and/or Human Resources.
  • Basic to working knowledge of business policies, procedures, and contract administration practices.
  • Basic to working knowledge of government contracting concepts, including the Uniform Commercial Code (UCC), Federal Acquisition Regulation (FAR), Defense Federal Acquisition Regulation Supplement (DFARS), and applicable acquisition laws and regulations.
  • Good to strong analytical, organizational, and written and verbal communication skills.
  • Ability to draft contractual documents in accordance with established templates, company policies, and customer requirements.
  • Familiarity with Deltek Costpoint or similar contract and financial management systems is preferred.
  • Ability to work effectively in a collaborative team environment while managing multiple priorities and meeting assigned deadlines.
  • Strong attention to detail with the ability to maintain accurate contract documentation and ensure compliance with contractual and regulatory requirements.
