Job Title: HR Program Specialist I Location(s): Atlanta, GA Job Summary The HR Records & Retention Specialist is responsible for the daily operations of the HR Records & Retention function. This role manages HR records inquiries from leadership, employees, legal teams, and retirees while partnering with an external records management vendor. The position ensures compliance with HR records retention policies, supports secure record storage, and uses ServiceNow to manage cases, requests, and escalations. Key Responsibilities
- Manage the day-to-day operations of the HR Records & Retention team.
- Serve as the primary point of contact for HR records inquiries from leadership, employees, legal teams, retirees, and other stakeholders.
- Partner with the external records management vendor to fulfill records requests accurately and efficiently.
- Ensure compliance with HR records retention policies and procedures.
- Support the proper storage and maintenance of HR records using ODM/DORS or similar records management systems.
- Collaborate with HR leaders, cross-functional teams, legal partners, and subject matter experts to resolve records-related questions and requests.
- Process record requests and respond to inquiries within established service level agreements (SLAs).
- Provide operational support for ad hoc projects, urgent business requests, and process updates.
- Use ServiceNow as the primary case management platform to receive, track, investigate, and resolve employee requests and escalations.
- Maintain accurate documentation and case records while ensuring data privacy and confidentiality.
- Promote awareness and adherence to HR records retention policies across the organization.
- Identify opportunities to improve records management processes and operational efficiency.
Required Skills
- Experience in HR Operations, HR Shared Services, HR Records Management, or Employee Services.
- Knowledge of records retention policies and document management practices.
- Experience using ServiceNow for case management.
- Strong customer service and stakeholder management skills.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to manage multiple priorities.
- Experience working with confidential and sensitive employee information.
- Ability to collaborate effectively with cross-functional teams, legal partners, and external vendors.
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
Preferred Qualifications
- Experience with document management systems such as ODM/DORS.
- Experience working with third-party records management vendors.
- Knowledge of HR compliance and employment records requirements.
- Continuous improvement or process improvement experience is a plus.
