Job Duties:

Administration Associate 1-Medical Education Administration (8201ME)

The Department of Anesthesiology's education office is a fast-paced, collaborative hub serving medical students, residents, fellows, and the faculty who champion them. This dual-focused role serves as the Undergraduate Medical Education (UME) Coordinator, supporting anesthesiology medical students and faculty, and as an Education Administrator, providing essential administrative support to the broader anesthesiology education team.

The ideal candidate thrives in a dynamic work environment, is highly organized and resourceful, takes initiative, and leverages technology to streamline workflows while managing and prioritizing multiple projects at once. Using clear and warm communication, the candidate will interact with a variety of stakeholders on behalf of the department with the ultimate goal being to support our learners.

This is a hybrid position, with 3 days on site and 2 days available for remote work per week. This role requires event support outside of normal working hours approximately 1-2 times per month. This position reports to the Associate Education Manager in the Department of Anesthesiology and works closely with the education faculty and team. The Department retains the right to modify flexible work arrangement agreements on a temporary or permanent basis for any reason at any time.

Major Responsibilities:

50% - Anesthesiology UME Coordinator:

  • UME point of contact: serves as the welcoming, primary point of contact for the Department of Anesthesiology with regards to medical students, observers, and visiting learners.

  • Course administration: partners with the Anesthesiology UME Director to run medical student electives. This includes updating curriculum materials, scheduling students, managing evaluations, and reporting grades.

  • Student support: supports medical students rotating on anesthesiology electives. This includes coordinating clinical and academic schedules, communicating course expectations, approving elective requests, and monitoring the completion of onboarding steps.

  • Event support: collaborates with the Anesthesiology UME Director and the Anesthesiology Interest Group to plan and host events designed to promote the field of anesthesiology to medical students.

  • Research and travel support: onboards students to departmental research projects. Then coordinates awards, and subsequent travel reimbursements, for students whose research leads to conference presentations.

  • Process innovation: leverages technology to implement, standardize, and improve efficient processes for UME projects.

50% - Education Administrator

  • Core operations support: serves as a dependable, highly reliable member of the education team. As part of this work, provides consistent and collaborative office support.

  • Event support: shares responsibility for staffing education events, including occasional hours outside of normal working hours (approximately 1-2 times per month).

  • Financial administration: manages payments and purchase orders for the education team, ensuring adherence to University and Department financial policies.

  • Program support: provides administrative support for the Department's Faculty Development Program.

  • Department support: provides administrative support for observers and outside resident and fellow rotations.

  • Special project support: assists the Associate Education Manager and education faculty with evolving education tasks and strategic projects, as needed.

Required Qualifications: (must be documented on all application materials)

  • Education/experience: BA/BS degree, or a combination of related education and work experience totaling four years.

  • Technical proficiency: demonstrated ability to use Google Workspace (Drive, Gmail, and Calendar) for organizational and collaborative work.

  • Problem-solving and initiative: proven ability to take initiative, utilize resources, and problem-solve independently.

  • Workflow management: excellent multitasking and prioritization skills with a track record of meeting strict deadlines and ensuring accurate and timely task completion.

  • Communication and collaboration: strong interpersonal skills, with the ability to communicate professionally, both written and verbal, within a fast-paced, growth-orientated environment.

  • Flexibility: ability to work occasional hours outside of the standard work day for event support, with advance notice.

Preferred Qualifications:

  • A genuine desire to support learners at various educational levels.

  • Prior experience working within a healthcare or educational setting.

  • A technology-forward mindset with enthusiasm for leveraging technology to improve processes.

  • Direct training in or knowledge of University of Minnesota systems, policies, and procedures.

Pay and Benefits

Pay Range: $28.95 - $34.07/hr; depending on education/qualifications/experience

Time Appointment: 100% Appointment
