TITLE

Associate Director of Undergraduate Recruitment

JOB SUMMARY

Performs responsible work in the coordination of administering the University's recruitment and admissions functions. This position will provide supervision to all admissions staff during certain recruitment activities and in the absence of the Director. This position will provide leadership with technology and selected reporting. Work is performed under minimal supervision and performance is based upon completion of assignments and results obtained. The performance evaluation is conducted through the performance evaluation system and in accordance with the University Policies & Procedures.

ORGANIZATIONAL RELATIONSHIPS

Reports to: Director of Undergraduate Recruitment

Supervises: Provides direct supervision to assigned assistant directors and general supervision to admissions staff

ESSENTIAL DUTIES - May include, but not limited to the following:

  • Contributes to the successful accomplishment of the University's enrollment objectives by working with the Director of Undergraduate Recruitment to implement a comprehensive student recruitment plan for undergraduate students which includes, but is not limited to the following components: development of an inquiry pool through the use of student search services, outreach (college fairs, high school and community college visits), high school and community college relations, use of the web and emerging technologies, campus visit programs, publications, and correspondence.

  • Coordinates all freshman and community recruitment events throughout the year and works closely with admission counselors to assign a representative and confirm TWU's attendance.

  • Oversees recruitment yield activities by utilizing tools such as the student information system, CRM, lead generation sources and other resources to research, compile data, and produce reports on progress toward meeting enrollment goals.

  • Provides support to the recruitment and enrollment plan by coordinating fall and spring travel, including managing registrations and payments, communications for college day/night programs, professional admission organization memberships, campus-based and regional events, and managing school databases for planning high school visits.

  • Generates departmental reports of undergraduate prospective students, applicants, and admitted students.

  • Works closely with the Director of Undergraduate Recruitment to provide support to the Director of Enrollment Communications and Director for New Student Programs for undergraduate recruitment initiatives.

  • Generates various admissions reports for other university departments to assist in the recruitment and matriculation of new students.

  • Crosschecks processes to help undergraduate applications matriculate through as TWU applicants.

  • Manages the creation and assignment of recruitment event codes used for tracking the success of each recruitment.

  • Responsible for planning and implementing recruitment and yield events, including developing the content for on and off-campus events.

  • Provides general supervision to admissions staff at recruitment events, for daily admissions office procedures, and in the absence of the Director.

  • Supervises assistant directors of undergraduate and regional recruitment.

  • Counsels' prospective students and their families either by phone, email or in-office visit.

  • Manages data information for list of top feeder high schools.

  • Represents the university at recruitment functions; educates prospective students, parents and counselors about the University and its admissions requirements and procedures.

  • Responsible for establishing job standards for subordinate staff and effectively evaluating staff under charge. The performance evaluation is conducted through the performance evaluation system and in accordance with the University Policies & Procedures.

  • Remains competent and current through self-directed professional reading, developing professional contacts with colleagues, attending professional development courses, and attending training and/or courses required by the Director of Admissions.

ADDITIONAL DUTIES

  • Performs other duties as requested.

  • Assists in reviewing and editing recruitment materials.

EDUCATION

Bachelor's degree required. Masters preferred.

EXPERIENCE

Five plus years of progressively responsible experience in the area of admissions and recruiting. Additional job-related education may substitute for required experience on a year-for-year basis.

REQUIREMENT

Valid Texas driver's licenses and a safe driving record such as required by the university for Driver's Authorization. Position may require extensive travel during the heavy recruitment season. Evening and weekend hours will be required. Regular and reliable attendance at the University during regular scheduled days and work hours is an essential function of this position. All employees share the responsibility of maintaining information security and privacy requirements within the university by adhering to Federal and State regulations, and TWU Policies & Procedures.

KNOWLEDGE, SKILLS, AND ABILITIES - The following are essential:

  • Knowledge of TWU Colleague System.

  • Knowledge and strong understanding of the college recruitment processes and the matriculation of prospective students to enrolled students.

  • Ability to make excellent decisions, extremely detailed oriented, highly organized, and strong interpersonal skills.

  • Knowledge of University policy concerning admissions policies and processes.

  • Ability to establish and maintain effective work relationships with parents, students, faculty, staff, and the public.

  • Ability to organize work effectively, conceptualize and prioritize objectives and exercise independent judgment based on an understanding of organizational policies and activities.

  • Ability to integrate resources, policies, and information for the determination of procedures, solutions, and other outcomes.

  • Ability to communicate effectively orally, by phone, in person, and in writing.

  • Ability to use a personal computer and other office equipment, including related university software and email.

  • Ability to work with a CRM

PHYSICAL DEMANDS

The physical demands described in the Essential Duties and below are representative of those that must be met by an employee to successfully perform the essential duties of this job. The employee is required to travel. Work is primarily sedentary. Sits comfortably to do the work; however, there may be some walking, standing, bending, or lifting items weighing up to 15 pounds.

WORK ENVIRONMENT

Employees must report any unsafe work conditions or practices, as well as any near-miss incidents, to their supervisor and Risk Management. Supervisors and employees should ensure that injury/accident reports are submitted to the Office of Human Resources and Risk Management within 24 hours of the incident.
