| Essential Job Duties |
The Conference Coordinator supports the successful planning, coordination, and execution of conferences, meetings, and special events. Working onsite 30-40 hours per week, this position serves as a key liaison for clients and internal teams, ensuring exceptional customer service and seamless event operations from initial planning through event completion. The Conference Coordinator is responsible for developing program proposals and contracts, coordinating event logistics, supporting day-of-event operations, and collaborating with Conference Services and cross-functional teams to deliver high-quality experiences for a wide range of educational, professional development, and special events.
These duties can include:
Operational Support
- Serve as point of contact day of for client, anticipating and addressing program needs and assisting with day of change requests.
- Support communication of day-of requests from clients to Conference Services team and other appropriate service areas, tracking all changes and requests.
- Monitor conference activities on-site to ensure accurate and timely execution of conference arrangements.
- Support the Conference Services team in reviewing and tracking event information in the reservation system as well as ensuring that program deadlines related to meeting planning, catering, technology, and setup are met.
- Work closely with Conference Center service teams in evaluating and planning successful delivery of services.
- Solicit and address client feedback.
- Assist with opening and closing procedures of the conference center.
- Assess and advise on venue availability and layouts based on specific program needs, service delivery requirements, and overall program use of the building.

This position is responsible for providing planning and day-of support to Conference Center programs. This can include:

- Working closely with Conference Center teams in evaluating and planning successful delivery of services.
- Tracking information in reservation system and ensuring that program deadlines related to meeting planning, catering, technology, setup, and billing are met.
- Assessing venue availability and layouts based on specific program needs, service delivery requirements, and overall program use of the building.
- Applying knowledge of services, pricing, and policies to generate program proposals in reservation system that align with services and program needs.
- Working with clients throughout the planning process to meet program deadlines that ensure successful delivery of services.
- Serve as primary point of contact for clients through the program planning process.
- Other duties as assigned.
This person will work with the Director of Conference Services to identify and support Conference Service team and event needs as related to the duties above. The scope of these duties requires a general understanding of event planning processes, including:
- Experience working in event venues
- Experience planning and executing events
- Clear and concise communication
- Experience working with deadlines and multiple teams at one time
- Experience working within a reservation system or similar software system
Contracting Support:
- Apply knowledge of services, pricing, and policies to generate program proposals in reservation system that align with services and program needs.
- Work with clients throughout the planning process to meet program deadlines that ensure successful delivery of services.
- Assist team in meeting timely communication goals with potential and upcoming programs.
- Other duties as assigned.

| Minimum Experience/Education |
- High school diploma or equivalency required; associate's or bachelor's degree in Hospitality Management, Event Management, Business Administration, Communications, or a related field preferred.
- Two years of experience coordinating conferences, meetings, events, or customer service operations; an equivalent combination of education and experience may be considered.
