Job Summary

The Distribution Office Support II provides administrative and operational support for a Regional Distribution Center by coordinating shipping and receiving documentation, inventory records, customer service activities, safety compliance, and logistics processes. This role maintains accurate operational records, supports distribution center compliance initiatives, assists with vendor and freight claims, and serves as a key liaison between internal teams, customers, and transportation partners. The position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Job Responsibilities



  • Provide administrative and clerical support for daily distribution center operations.
  • Maintain shipping, receiving, inventory, and operational records to ensure accuracy and compliance.
  • Develop and maintain logs, reports, audit documentation, SOX controls, and operational metrics.
  • Coordinate safety training, documentation, communications, and required OSHA compliance activities.
  • Monitor inbound shipments, verify receiving documentation, and communicate potential delivery or detention issues.
  • Prepare and process Bills of Lading, shipping documentation, and transportation records.
  • Coordinate customer pickup orders and support parcel and less-than-truckload (LTL) shipments.
  • Serve as the primary point of contact for internal and external customer inquiries related to shipping, receiving, and order status.
  • Investigate and initiate vendor freight claims and transportation claims for damaged shipments or shipping discrepancies.
  • Support inventory accuracy by updating database records and resolving documentation discrepancies.
  • Monitor standard operating procedures (SOPs), packaging issues, product discrepancies, and vendor cross-reference concerns.
  • Assist in determining the disposition of damaged products.
  • Utilize business systems to maintain accurate operational and inventory information.
  • Support special projects and perform additional duties as assigned.


Job Requirements



  • Minimum of 2 years of experience in administrative support, distribution, logistics, warehouse operations, or customer service required.
  • High school diploma or equivalent required.
  • Bachelor's degree preferred.
  • Experience supporting shipping, receiving, inventory, or distribution center operations preferred.
  • Experience with Microsoft Office applications, including Excel, Word, and PowerPoint.
  • Experience with SAP or other enterprise resource planning (ERP) systems preferred.
  • Familiarity with electronic data interchange (EDI), shipping documentation, and general office systems preferred.
  • Knowledge of customer service principles and the ability to resolve customer concerns professionally.
  • Strong organizational, analytical, and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities in a fast-paced environment while maintaining attention to detail.
  • Ability to work independently and collaboratively across multiple departments.
  • Willingness to cross-train and support various office functions within the distribution center.


Education



  • High school diploma or equivalent required.
  • Bachelor's degree preferred.


Work Experience



  • Minimum of 2 years of experience in administrative support, distribution, logistics, warehouse operations, or customer service required.
  • Experience supporting shipping, receiving, inventory, or distribution center operations preferred.
