We have an opportunity at our corporate offices in Chicago for a Programming & Events Specialist II (Hybrid) on our Physician Satisfaction team. This is a hybrid position reporting into our Chicago, IL office, requiring 3 days a week in the office.

This role is responsible for coordinating event related activities and
projects the AMA's Professional Satisfaction & Practice Sustainability
(PS2) and the Career Advancement Collective (CAC) educational offerings and
events. Primary responsibilities include event management, participant and partner
outreach, and presentation preparation.

RESPONSIBILITIES:

Projects and Planning Related to PS2/CAC Educational Events and Conferences
  • Collaborate with the program committee to implement, administrate, organize, and evaluate all aspects of virtual events, workshops, and conferences
  • Work with partner organizations to facilitate, coordinate, execute, and support logistics related to event related programs
  • Support the review and coordination of key milestones and deliverables including speaker selection, webinar platforms, marketing materials, event registration by partnering closely with program and events manager and external partners
  • Ensure team members and leadership are aware of key/critical issues impacting events and may assist in resolving issues
  • Assist in mitigating any arising issues and troubleshoot any emerging problems on the event day
  • Assist in material production, audio/visual needs, travel and lodging, and other activities required to successfully conduct a well-organized eve

PS2/CAC Programming

  • Support collaborations with and convenings of external stakeholders to contribute to ongoing work in alignment with unit goals
  • Serve as a primary contact for participants and stakeholders questions and issues; oversee related proxy email inbox
  • Research ideas or suggest for new PS2 programming opportunities
  • Assist with building presentation decks and moderate webinars
  • Assist in identifying potential PS2/CAC collaborators for webinars and events

Process and Data Management

  • Recommend and incorporate continuous process improvement practices and efficiencies in procedures, processes, and protocols
  • Compile event and conference survey results using Excel spreadsheets and web-based survey development tools like SurveyMonkey
  • Create and maintain dashboards for reporting progress; assist in writing reports related to projects
  • Assist in the creation of surveys to gather information to support virtual and live events

May include other responsibilities as assigned

REQUIREMENTS:

  1. Bachelor's degree preferred or equivalent work experience and HS diploma/equivalent education required

  2. 3+ years of experience in program coordination, project coordination, or event planning required

  3. Experience supporting meetings and events, including registration, travel, planning, virtual event platforms (e.g., webinar production) preferred

  4. Experience in building marketing and/ or programming preferred

  5. Strong verbal, written and visual communication skills; able to communicate with diverse stakeholders at all levels of an organization

  6. Strong interpersonal skills, including relationship-building; ability to interface effectively with people of varying disciplines, background, and expertise

  7. Attention to detail and well-developed organizational and time management skills to handle a variety of multi-faceted projects, often with conflicting deadlines in a fast-paced team environment

  8. Ability to work independently and to function effectively as a team member

  9. Proficient in use of Microsoft Office applications including, Word, Excel, PowerPoint, SharePoint, and Outlook. Experience with Microsoft Project and web-based survey development tools preferred

  10. Some travel may be required

This role is an exempt position, and the salary range for this position is $74,160-$98,318. This is the lowest to highest salary we believe we would pay for this role at the time of this posting. An employee's pay within the salary range will be determined by a variety of factors including but not limited to business consideration and geographical location, as well as candidate qualifications, such as skills, education, and experience.
