Job Description:

The Receptionist is the primary operator of the multi-line switchboard at Veit's Corporate Centre and will answer and direct calls to appropriate person or department, distribute mail, and coordinate delivery of packages. The Receptionist is also responsible for greeting visitors and helping them to feel comfortable.

A Day in the Life

  • Answers incoming calls, forwards calls, takes messages, and notifies appropriate personnel when visitors arrive.

  • Accepts deliveries and disperses incoming packages from Fed-Ex, UPS, and couriers.

  • Greets visitors and employees in a friendly and helpful manner.

  • Opens, sorts, and disperses incoming mail to appropriate personnel or department.

  • Prepares and meters outgoing mail and packages.

  • Ensures postage meter has sufficient funds. Maintains postage log for the various companies of Veit.

  • Orders office supplies and manages inventory. Keeps office supply storage area clean, organized, and stocked appropriately.

  • Organizes, maintains, and keeps clean and orderly the employee break area and kitchen.

  • Works with supervisor and other leaders for coordination and scheduling of employee and customer engagement activities and events.

  • Works with appropriate personnel to add/remove names on office doors.

  • Coordinates maintenance of office equipment, copier, postage meter, etc. Places service calls when necessary.

  • Keeps supervisor informed of known actions, written or verbal, which may affect the ability to successfully perform assignments or adversely affect company operations.

  • Updates employee data changes into HRIS system including but not limited to new hire information, direct deposits, W-4 changes, address changes, emergency contact information, etc

  • Participates in HR projects as needed.

  • Maintain confidentiality in all areas of operation.

  • Coordinate floral orders/cards for funerals, employee milestones, etc.

  • Other projects or duties as assigned by management.

What You'll Need

  • High School Degree or general education degree (GED); one year of related experience and/or training; or equivalent combination of education and experience.

  • Must have strong customer service skills including an energized, positive people-first approach.

  • Knowledge of Microsoft Office Suite.

  • Excellent oral and written communication skills including the ability to effectively communicate instructions to internal and external customers.

  • Excellent organizational skills.

  • Ability to be self-directed and seek out information to keep projects or processes on track.

  • Ability to maintain compliance with all company policies and procedures.

  • Ability to function in a fast-paced environment with minimal supervision.

  • Ability to meet deadlines while maintaining a positive attitude.

Other

  • Must be able to work 8-hour workdays, Monday through Friday 7:00 am - 4:00 pm

  • Must be able to pass a pre-employment background screening

  • Telecommuting is not available.

Additional functions include standing and/or siting in a stationary position for extended periods of time; 75%+, use a computer/laptop in an office environment with natural and/or fluorescent lighting, navigate between office building floors (an elevator is available), attend off-site meetings on occasion, and lift up to 50 lbs. unassisted.

Base Compensation: $23/hr - $26/hr

The base salary range may vary depending on geographic location, applicant skills, and prior relevant experience.
