THE POSITION

Take the next step in your career as a Clerical Assistant 3 with the Department of Human Services. In this role, you will support key office functions in the Bureau of Community and Hospital Operations, including licensing activities, complaint coordination, and daily administrative operations. You will partner closely with staff and providers while leading efforts to organize information, manage records, and assist in resolving issues. This position is well suited for someone who thrives in a fast-paced, mission-focused environment.


DESCRIPTION OF WORK

This position supports the Office of Mental Health and Substance Abuse Services in the Central Field Office by handling complex clerical tasks, organizing licensing materials, and coordinating important workflows. It requires independent judgment, strong organizational skills, and the ability to support staff, assist providers, and manage complaints received through multiple channels. As a Clerical Assistant 3, you will perform the following duties:

  • Licensing Support: Review and upload documentation, apply retention rules, and categorize information accurately
  • Provider Assistance: Guide providers through the licensing process and offer technical help
  • Complaint Coordination: Prioritize, track, and monitor complaints from various sources to ensure resolution
  • Meeting Preparation: Arrange meetings, develop agendas, and prepare minutes
  • Office Operations: Answer calls, direct requests to appropriate staff, manage mail routines, and maintain office supply inventory
  • Administrative Guidance: Use policies and procedures to ensure compliance and guide staff in non-routine situations

Work Schedule and Additional Information:

  • Full-time employment, 37.5 hours per week
  • Work hours are 8:30 AM to 5:00 PM, Monday - Friday, with a 60-minute lunch.
  • Telework: You may have the opportunity to work from home (telework) part-time, up to three days per week. You will be required to work in the office two days per week at the worksite address listed on this posting. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office in Harrisburg. The ability to telework is subject to change at any time. Additional details may be provided during the interview.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • One year as a Clerical Assistant 2 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
  • One year of moderately complex clerical experience; or
  • An equivalent combination of experience and training.

  • You must be able to perform essential job functions.

Legal Requirements:

  • This position falls under the provisions of the Child Protective Services Law.
    • Under the Law, a conditional offer of employment will require submission and approval of satisfactory criminal history reports including, but not limited to, PA State Police clearance, PA Child Abuse history clearance, and FBI Fingerprint clearance.
