DESCRIPTION

Reporting directly to the Senior Director of Service Lines, OBGYN, Urology, Neonatology, and Mobile Health, this position supports the Urology Service Line in partnership with the UC San Diego Department of Urology. The Surgery Scheduling Manager oversees all aspects of surgical and procedure scheduling for the urology service line, ensuring efficient, accurate, and patient-centered coordination across operating rooms and procedure suites.

The role is responsible for managing surgical case coordination and booking, overseeing prior authorization and insurance verification for surgical cases, and supervising scheduling staff. The manager maintains and optimizes urology OR and procedure block schedules, working closely with physician leaders, surgical teams, and hospital operations to maximize utilization and minimize scheduling gaps or conflicts. This position also provides support for clinic template updates and scheduling adjustments as needed.

The ideal candidate is an organized and experienced leader who brings a working knowledge of surgical scheduling workflows, a data-driven approach to operational decision-making, and the ability to lead and develop a scheduling team in a complex academic medical environment while supporting the patient, physician, and staff experience.

MINIMUM QUALIFICATIONS
  • Nine (9) years of healthcare-related experience, education/training, OR a Bachelor's degree in a healthcare-related field plus five (5) years of related healthcare experience/training.

  • Prior supervisory experience in a surgical scheduling, perioperative, or ambulatory care setting, with demonstrated ability to manage staff and balance multiple competing priorities.

  • Strong knowledge of surgical case coordination, OR/procedure block scheduling, insurance authorization processes, and applicable regulatory requirements and best practices.

  • Strong analytical and critical thinking skills, with the ability to quickly analyze scheduling problems, determine appropriate level of intervention, and develop and apply effective solutions.

  • Demonstrated experience utilizing technology, data systems, and analytics to drive operational decision-making and scheduling performance improvement.

  • Lean training or experience applying Lean or process improvement methodologies in a healthcare environment.

  • Exceptional organizational, leadership, and supervisory skills, with a track record of developing high-performing teams.

  • Strong interpersonal skills for effective collaboration with physicians, surgical staff, hospital operations, and all levels of management.

  • Strong written and verbal communication skills, with the ability to train and mentor subordinates and prepare and present reports, analyses, and operational documentation.

  • Strong knowledge of business software, scheduling applications, and data management systems used in surgical or clinic operations.

PREFERRED QUALIFICATIONS
  • Prior experience in urology, surgical subspecialty, or procedural scheduling.

  • Experience managing OR block schedules and working directly with physician and surgical leadership on utilization.

  • Previous supervisory experience with direct responsibility over scheduling or perioperative support staff.

  • Lean certification (e.g., Green Belt, Six Sigma, or equivalent) or formal participation in a healthcare performance improvement program.

  • Familiarity with Epic or comparable electronic health record and surgical scheduling systems.

  • Experience with revenue cycle management, insurance authorizations, and payer requirements in a surgical specialty setting.
