JOB SUMMARY

An Office Administrator at Doble Engineering will be responsible for providing administrative support to the Director of Operations, as well as the Service Department. This role is located at Doble's Accident, Maryland facility and will report to the Director of Operations.

ESSENTIAL JOB FUNCTIONS



  • Collects, reviews and analyzes data and prepares reports, charts, budgets, and other presentation materials utilizing Microsoft Office tools.
  • Answers and routes incoming calls.
  • Complete reception tasks, including providing information to individuals in a courteous, professional manner, greet and direct visitors and ensure all visitor waivers are signed.
  • Prepares and distributes reports or other communications on a regular schedule, per the Director of Operations.
  • Maintains files, databases, and archives of relevant records.
  • Responds to inquiries and/or routes inquiries to the appropriate department for a timely response.
  • Organize live and virtual meetings, including All Hands or meetings involving special guests to the facility.
  • Ensures equipment needed for meetings is established and working properly.
  • Keeps communication channels up to date and relevant (bulletin boards, computer monitor in cafeteria).
  • Compiles and verifies information using simple calculations and standard procedures.
  • Retrieves documents or responds to requests for information, as needed.
  • May assist with general office associated tasks, such as copying, mailing, and ordering supplies.
  • Sort incoming mail and stamp outgoing mail.
  • May assist Sr. Buyer or International Shipping Manager with administrative support when needed.
  • May Investigate and resolve customer complaints, collaborate with internal stakeholders as necessary (e.g., technical support, operations, or sales).
  • Guide customers through troubleshooting steps and ensure they receive timely solutions to their problems.
  • Document and track customer interactions, issues, and resolutions in the customer service software.
  • Support RMA product return authorization numbers (RMA's) to customers and address a wide variety of customer issues, including product inquiries, order status, returns, troubleshooting, and account management.


  • Resolve customer complaints or issues in a professional, efficient, and empathetic manner, aiming for first-contact resolution whenever possible.


  • Provide clear, accurate, and helpful information to customers regarding products, services, policies, and procedures.


QUALIFICATIONS

EDUCATION:

Requires a high school diploma.

A college degree is preferred.

REQUIRED EXPERIENCE:



  • 3 - 5 years of related experience

  • Strong interpersonal skills with the ability to work independently as well as within a team environment.
  • Strong communication capability, both verbal and written.

  • Demonstrate a professional demeanor at all times with both internal and external stakeholders.
  • Demonstrated proficiency with Microsoft Office (Outlook, Word, Excel, Powerpoint, Sharepoint).


PHYSICAL REQUIREMENTS:

While performing the duties of this job the employee is often required to stand, sit, use computers, read, write, type, use copy machines, file paperwork, use telephones, and utilize written and oral communication to interact with clients, co-workers, and customers. Reasonable accommodations may be made to enable individuals to perform the essential functions of this job. Must be capable of lifting 30 pounds. Must use assistance when lifting 50 or more pounds.

Actual base salary offered to the hired applicant will be determined based on their work location, level, qualifications, job related skills, as well as relevant education or training experience.
Hourly Pay Range Minimum $23.40 - Midpoint $29.25
