| Primary Purpose of Department |
Within the Division of Business Affairs, the Facilities Management department is responsible for all facilities planning, capital construction, and operations. Additionally, this department is responsible for all maintenance, repair, renovation, construction, and operations of the real property of the University - athletic fields, buildings, grounds, roads, and utility systems. Related services include housekeeping, recycling, and waste management.
As the largest administrative department, Facilities Management services are aligned among seven (7) sub-departments and/or offices/units: Administration; Building Environmental Services & Recycling; Engineering Services; Finance & Business Operations; Grounds; Operations; and Planning, Design, and Construction.
The Facilities Finance and Business Operations is responsible for fiscal support of all units of Facilities Management, with specific responsibilities for accounting, billing, budgeting, call center communications, financial analysis, process improvement, and transportation, warehouse, and logistics operations. |
| Primary Purpose of Position |
The primary purpose of this position is to manage the cost accounting component of the FM procurement process for all FM units. |
| Summary of Position Responsibilities |
Duties include applying the correct fund and expense codes to requisitions, reviewing and processing documentation, managing transactions, facilitating and reconciling vendor payments with our financial accounts (both general fund and receipts), and maintaining financial records. The position is also responsible for the preparation of a variety of managerial reports on a daily, weekly, monthly, and yearly basis. |
| Minimum Education/Experience |
Bachelor's degree in a related field, or an equivalent combination of education and experience. |
| Preferred Education, Knowledge, Skills and Experience |
- Four-year degree in business administration, accounting, or related field and two years of experience in accounting or business;
- Experience in higher education, facilities management, or public sector setting;
- Proven customer service skills;
- Ability to work independently with minimum supervision;
- Strong organizational and time management skills.
- Strong critical thinking and problem-solving skills.
- Ability to communicate effectively, orally and in writing, using the English language; Outstanding and effective interpersonal, verbal, and written communication skills with a wide variety of campus partners, external customers, etc.
- Proficiency in Microsoft Office Suite, Google applications, Banner Finance, 49er Mart, etc., and willingness to learn new programs. Ability to create complex spreadsheets and accounting records in MS Excel, Google Sheets, etc., to include a report of annual fiscal and expenditure data;
- Ability to effectively work/interact with persons from different backgrounds and cultures.
- Ability to foster and create an atmosphere of teamwork with co-workers, visitors, building occupants, and the entire campus community.
- Selected candidate may operate assigned vehicles on and off campus.
