Job Description
As a member of the Division of University Advancement, this position reports to the Assistant Director, Gifts & Records Management and serves as a steward of information pertaining to the development, donor, constituent, alumni, gift processing, special events, and communication activities of the Division by utilizing conventional and systemic resources to research data discrepancies and facilitate high volume complex data entry. The candidate will display independent decision making, superior organization and strong attention to detail. Excellent communication skills, both verbal and written, are necessary. The ideal candidate should take ownership of tasks with focus and consistency, while being an adaptable supportive team member. Responsibilities
- Manages the collection and entry of data into the CRM, including retrieval and reconciliation of data from other tools and systems. Ensure data changes are sourced accurately and are in line with data entry procedures.
- Performs both routine and emerging data hygiene screenings and updates in Ellucian CRM related to alumni and donor biographical data.
- Collaborates with stakeholders to optimize data collection methods and provide guidance to ensure data submissions are consistent and accurate. Help to define and create specifications for reports and dashboards.
- Proactively manages data hygiene calendar and maintains data quality standards with regular maintenance of both routine and emerging data in the existing CRM, periodically eliminating obsolete data.
- Performs various data entry and assists with the creation, training, and documentation of standardized procedures for:
record creation and updates, including affiliation, biographic, demographic and relationship data constituent communication preferences, exclusions, and returned data volunteer, advisory, and affinity groups and giving societies - Prepares basic biographical research data and profiles for events and other prospect activities.
- Provides outstanding customer service, responding to incoming requests from inside and outside the organization. Communicate and manage projects within project management tools.
- Uses research tools from various online, digital and paper sources to ensure the most accurate data possible. Regularly reviews and researches files that require human discernment from native CRM and other data movement and update processes.
- Fulfill requests for gifts used in the stewarding of donors.
- Organizes and completes assignments according to priorities and deadlines; sets own priorities in accordance with team needs.
- Recognizes and solves typical problems that occur in own work area without supervisory approval.
- Provides solutions to problems in situations that are typically based on practice and existing precedents and escalates atypical occurring problems to supervisor/manager.
- Maintains recommended data management standards including data confidentiality and entry standards, as offered by the CRM vendor and fundraising professional societies including CASE, AASP, AFP, Apra, and in adherence to IRS codes and other government data protection regulations and laws.
- Maintain confidentiality regarding sensitive matters.

Minimum Qualifications
An Associate's degree or an equivalent combination of education and experience and at least 1 year of experience from which comparable knowledge and skills can be acquired is necessary
Preferred Qualifications
- At least 3 years of experience preferred.
- Proficient in use of Microsoft Office products.
- Proficient with CRM Advance or similar fundraising CRM
- Ability to work independently while also working as a member of the University Advancement team.
- Ability to read, analyze and interpret complex financial agreements and situations.
- Familiarity with fundraising data and processes.
- Ability to respond effectively to sensitive inquiries and complaints.
Anticipated Hiring Range
