THE POSITION

The Department of General Services is on the lookout for an Administrative Assistant 1 to serve as the vital link between the Bureau of Vehicle Management (BVM) and agencies across the Commonwealth. DESCRIPTION OF WORK

As an Administrative Assistant 1, you will support the Commonwealth's automotive fleet by reviewing repair estimates; ensuring vendor pricing aligns with contracted rates; and identifying cost-saving opportunities across maintenance, storage, towing, and fleet retirement. Work involves maintaining warranty compliance, verifying coverage, and recovering eligible third-party costs while serving as a key point of contact for drivers and vendors. Your work also includes updating fleet management systems, maintaining accurate vehicle records, preparing fiscal documents, and ensuring timely processing of work orders. You will have the opportunity to provide frontline support by responding to inquiries, training new drivers on proper procedures, and promoting consistent adherence to BVM policies to keep the fleet operating efficiently.

Work Schedule and Additional Information:

  • Full-time employment
  • Work hours are 8:00 AM to 4:30 PM, Monday - Friday, with a 60-minute lunch.
  • Telework: You may have the opportunity to work from home (telework) part-time. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office in Harrisburg. The ability to telework is subject to change at any time. Additional details may be provided during the interview.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • Such training as may have been gained through graduation from a four year college or university or any equivalent combination of experience and training.

Additional Requirements:

  • You must have experience in customer service handling inquiries, resolving issues, and providing support in a professional environment.
  • You must have automotive experience (automotive estimating, mechanical work, or experience in an automotive environment).
  • You must have experience working in Excel (creating spreadsheets, basic formulas, tracking data, reports, etc.).
  • You must be able to perform essential job functions.
