Position Highlights The position of Office Specialist is being created to plan, implement and maintain the migration from our current computer maintenance management system (School Dude) to our incoming system TMA. The tasks required will be to learn, understand and become the Super User for both CMMS systems in order to properly migrate our work ticket system and our preventive maintenance system from School Dude to TMA. This position will also provide administrative support for existing staff up to and including incoming calls and requests for all facilities units.

Duties & Responsibilities
  • Collection/archiving and updating of all data in TMA on-line maintenance ticket system, TMA equipment PM system and the preparation of TMA reports and monthly facilities customer service survey and automated report generating requirements.
  • Provide assistance with on-line and in person training in HMS practices and procedures, maintenance on-line work requests, related data entry.
  • Acts as office first point of contact on main line shop phone and in person for inquiries made from Housing & Residential Life and University staff requesting HMS assistance, HMS purchasing activity notifications; follow up on various communications as directed per Office Supervisor.
  • Provides computer support assistance for HMS staff as directed per Office Supervisor, including correspondence, file maintenance and assist with front office operations.
  • Creates various work order requests and related reports; assist in completion of office process (scanning, logging and filing) of HMS purchasing documents.

Knowledge, Skills & Abilities

  • Proficiency in database and office software applications, including Microsoft Office 365 (Outlook, Teams, Word, and Excel).
  • Demonstrated ability to perform effectively in high-volume maintenance, construction, and customer service environments.

Minimum Qualifications
  • High school diploma or equivalent is required.
  • Minimum of 3 years of relevant experience, or equivalent combination of education and work experience.
Preferred Qualifications
  • Three years of increasingly responsible office/clerical experience which includes one year in a directly related function.
  • Valid driver's license and ability to drive according to
    the University Fleet Safety Policy.
