Position Summary

The Client Services Specialist is responsible for delivering high-quality support to clients by managing account administration, responding to inquiries, and ensuring a seamless client experience. This role serves as a key point of contact for clients and works closely with internal teams to coordinate service needs, maintain accurate records, and support overall relationship management.

Key Responsibilities
  • Serve as the primary point of contact for client inquiries via phone and email
  • Build and maintain strong, professional relationships with clients
  • Process account documentation, applications, transfers, and service requests accurately and efficiently
  • Maintain detailed and accurate client records in internal systems
  • Coordinate with operations, compliance, and advisory teams to ensure timely completion of client requests
  • Prepare client reports, presentations, and meeting materials
  • Monitor account activity and proactively address discrepancies or service issues
  • Assist with onboarding new clients and ensure all required documentation is completed
  • Support ongoing client review processes and follow-up communications
  • Maintain confidentiality and handle sensitive information with discretion
Qualifications
  • Bachelor's degree preferred
  • 2+ years of experience in client service, account management, or administrative support
  • Strong attention to detail and organizational skills
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Ability to multitask and manage priorities in a fast-paced environment
  • High level of professionalism and client-first mindset
Preferred Skills
  • Experience working with financial accounts or regulated environments
  • Familiarity with CRM systems

Determining compensation for this role (and others) at Vaco by Highspring depends upon a wide array of factors including but not limited to:

  • the individual's skill sets, experience and training;
  • licensure and certification requirements;
  • office location and other geographic considerations;

With that said, as required by local law, Vaco by Highspring believes that the following salary range referenced above reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure.
