What this job involves:

Site Operations / MAC Coordinator - JLL

As a Site Operations/MAC Coordinator at JLL, you'll provide comprehensive administrative and operational support that keeps our clients' facilities running smoothly and efficiently. This role combines day-to-day facilities operations with project management responsibilities, positioning you as a key liaison between clients, vendors, and internal stakeholders. You'll manage work orders for both Facilities and MAC (Moves, Adds, Changes) projects while coordinating events that bring workplace environments to life. Your day-to-day tasks will include:

  • Scheduling and coordinating vendor activities and site inspections
  • Maintaining accurate records of vendor interactions, service requests, and site activities
  • Assisting in the preparation of basic reports on site operations and vendor performance
  • Responding to routine inquiries from staff, vendors, and clients
  • Supporting the implementation of site procedures and protocols
  • Helping to organize and maintain site documentation and operational manuals
  • Assisting in tracking and reporting on key performance indicators (KPIs)
  • Coordinating site meetings and helping to prepare relevant materials
  • Helping to support front desk operations and greeting visitors
  • Liaison with regional mailroom lead to ensure smooth site operations
  • Participate in safety and compliance initiatives to promote a safe working environment
  • Provide back-up Reception support on as needed basis
  • Provide back-up mail room support on as needed basis

MAC/Events Coordination

  • Assist with development of scope and schedule for relocation and reconfiguration setups and resets for events
  • Handle administrative responsibilities including meeting minutes, agendas, and event project reports
  • Manage action agendas and associated event project documentation
  • Review and edit event project documentation developed by team members
  • Update event project documentation on client or facility management SharePoint sites

Client Stakeholder Management

  • Receive and process client requests for both operational and events needs
  • Participate in planning meetings with clients, facility managers, and key stakeholders
  • Initiate meetings to review event project schedules with vendors and stakeholders
  • Communicate issues and concerns requiring resolution to appropriate JLL leadership
  • Respond to routine inquiries from staff, vendors, and clients

Reporting and Documentation

  • Assist in preparation of reports on site operations, vendor performance, and event project status
  • Track and report on key performance indicators (KPIs)
  • Assist with close-out activities including reports, lessons learned, and client surveys
  • Support the implementation of site procedures and protocols
  • Maintain site documentation and operational manuals

Desired experience and technical skills:

Required

  • 2 years of experience in facilities coordination, operational support, relocation project management support, or similar role in a Corporate Real Estate environment
  • Experience working with/on Event Coordination
  • Strong organizational skills and attention to detail with ability to multi-task
  • Proficiency in Microsoft Office Suite, particularly Excel, Outlook, and other core applications
  • Proficiency in Google Workspace Apps, particularly Sheets, Mail, and other core applications
  • Excellent written and verbal communication skills
  • Ability to prioritize tasks, manage time effectively, and work both independently and as part of a team
  • Excellent understanding of customer service principles
  • Experience with CAD/CAFM technology with move management modules
  • Experience with CMMS technology to manage, schedule, and coordinate onsite work
  • Ability to work onsite full time with flexibility for travel between client locations

Preferred

  • Bachelor's degree in related field(s) or related discipline(s)
  • Knowledge of construction or commercial real estate industry
  • Familiarity with architectural drawings and furniture/space planning concepts
  • Experience in facilities or property management environment
  • Understanding of health and safety practices in workplace settings
  • Strong interpersonal skills with ability to interact with executive level internal and external clients

Additional information:
  • Location: Austin, TX
  • This is an On-site position.
  • Work Schedule: Monday to Friday from 8am - 5pm.
