Mechanical & Aerospace Engineering

Job Description

  • Provide leadership and knowledge of the graduate mechanical and aerospace engineering programs in order to ensure graduate students have accurate and updated information needed to successfully orchestrate their graduate program as well as enabling faculty to recruit, retain, and support their graduate students by performing all of the following responsibilities, especially assist and process graduate student personnel action forms and associated HR-related paperwork so the graduate students receive their stipends/salary per the offer letter or faculty requests. This includes coordinating with faculty and preparing offer letters, financial assistantships and fellowships.
  • Review, analyze, evaluate, process and monitor graduate student progress toward their degree and their admission to the department. Keep files on the graduate students and graduate data, and analyze and input appropriate data into reports (either departmental, campus, or off-campus). This includes assisting and processing graduate student graduate forms, ensuring the department graduate program requirements are met as well as working with the faculty on graduate offer letters, financial assistantships and fellowships.
  • Maintain and review account expenditures for graduate fellowship accounts and research, gather information and organize data to prepare reports or tables for the Associate Chair to use in the department and on campus.
  • Provide assistance, advice and information to graduate students with the goal of making their graduate education process smooth. This includes expertise, and processing, on graduate forms and deadlines, program requirements and DARs review.
  • Communicate with graduate students in person, electronically, and in writing to keep them aware of the deadlines and criteria they need to successfully complete their degrees and workshops they need to attend, as well as to obtain necessary signatures (on various forms, including electronic effort verification reports).
  • Provide general support of the graduate committee and attend graduate meetings (department as well as campus). Represent the Associate Chair of Graduate Affairs at designated meetings as requested.
  • Faculty workload and Canvas pertaining to GTA's. (Adding graders and % assignments to CANVAS).
  • Automobile (Enterprise) Rentals.
  • Conference registrations including airline tickets and rental car reservations. (Pertains to employees and non-employees.).
  • Room Reservations for the department, coordinating with other departments for usage of shared spaces in Toomey Hall, reserving classroom spaces for faculty as needed.
  • Provide check in and tracking for graduate seminars.
  • Graduate record retention for department.
  • General duties as shared by MAE departmental administrative support.
Minimum Qualifications

High school diploma or equivalent and at least 5 years of experience from which comparable knowledge and skills can be acquired is necessary

Anticipated Hiring Range

The anticipated hiring range for this position has been established as $15.50-$20.32 hourly.

Salary is determined by a variety of factors, including but not limited to, the individual's particular combination of education, skills, and experience, as well as organizational requirements.
