IT Coordinator- Katalis Phase 2

Program Overview

KATALIS Phase II (2026-2031) is a partnership between
the governments of Australia and Indonesia, funded by the Department of Foreign
Affairs and Trade (DFAT), and implemented in collaboration with the Government
of Indonesia. The program strengthens bilateral economic engagement under the
Indonesia-Australia Comprehensive Economic Partnership Agreement (IACEPA)
through two mutually reinforcing pillars:
Pillar 1: IACEPA institutional architecture & policy reform (secretariat and implementation support).
Pillar 2: Skills, Businesses & Inclusive Growth, including the KATALIS Phase II Business Partnership Fund (KBPF) to test, scale, and commercialize inclusive, climatesmart business models with Indonesian SMEs and Australian partners.

Purpose of the
Position

The IT Coordinator is responsible for
maintaining a robust, secure, and efficient technology environment for the
KATALIS Phase II office. This role ensures the continuous availability of
network infrastructure, oversees cybersecurity measures-including laptop
security and M365 access management-and provides high-quality technical support
to all program staff. The coordinator acts as the technical lead for
implementing local IT solutions and assisting with the availability of program
applications while maintaining compliance with Palladium and donor security
standards

Primary
Responsibilities

Under the direction of the Operations Lead,
the IT Coordinator will lead the following technical functions:
1. Network
Infrastructure & Server Management

- Maintain and optimize the local area network (LAN/WLAN) and internet connectivity to ensure 24/7 availability for all program staff.
- Manage the configuration, maintenance, and storage capacity of on-site or cloud-based servers, ensuring high performance and reliability.
- Monitor hardware health (laptops, monitors, printers, NAS etc) and coordinate with vendors for repairs, upgrades, or ISP service issues
2.
Cybersecurity & Firewall Administration

- Administer and monitor the network security perimeter using Cisco Meraki or similar firewall technology.
- Implement security protocols, including anti-virus software, multi-factor authentication (MFA), and endpoint protection to prevent breaches to staff data in laptop.
- Conduct regular security sweeps and respond to potential vulnerabilities or unauthorized access incidents in coordination with Palladium Global IT.
3. Traffic
Monitoring & Performance

- Actively monitor network traffic and bandwidth utilization to prevent bottlenecks and ensure priority for business-critical applications.
- Generate monthly performance reports on internet uptime, traffic patterns, and security incidents.
4. Backup,
Archiving & Disaster Recovery

- Execute and verify daily, weekly, and monthly data backups for office files and local application databases in accordance with the Business Continuity Plan.
- Manage the archiving of program data and emails to ensure compliance with records management and donor policies

- Periodically test disaster recovery procedures to ensure systems and data can be restored quickly following a failure.

5. Helpdesk
& Technical Support

- Provide primary technical support for hardware (laptops, printers, display), software (Office 365, Teams), and connectivity, ensuring a service-oriented approach for non-technical staff.
- Manage the IT asset registry, including the setup, secure configuration of workstations for new hire, and decommissioning of staff workstations.
- Conduct basic IT induction training for new staff on security awareness and standard software usage.
- Ensure staff compliance with global identity security standards and assist in resolving account-level security or access issues

Other Duties
- Carry out other responsibilities as reasonably requested by the Operation Lead and consistent with the role's qualifications.
- Comply with, and advocate for, DFAT's policies in all aspects of implementation, including gender, disability, fraud and anti-corruption, PSEAH, child protection and environmental and social safeguards



Required Qualifications:
  • Secondary qualifications in a relevant IT discipline or an equivalent combination of relevant experience and education.
  • At least 5-7 years of experience in IT systems administration, preferably within a donor-funded project or international organization.
  • Proven experience in managing enterprise-grade firewall solutions (e.g., Cisco Meraki) and network security perimeters.
  • Strong technical knowledge of Microsoft 365 administration, including SharePoint, Teams, and OneDrive.
  • Demonstrated experience in server administration (on-site or cloud), storage management, and network troubleshooting.
  • Proven ability to troubleshoot complex technical issues independently and under pressure while maintaining a service-oriented mindset.
  • Good written and verbal communication skills in both English and Bahasa Indonesia.
  • A service-oriented mindset with the ability to provide patient and clear technical support to non-technical staff.
    Desirable
  • Prior experience working on DFATfunded or Palladiummanaged programs.
  • Familiarity with ISO 27001 or comparable information security standards
  • Basic experience in monitoring cloud-hosted environments (e.g., AWS, Azure) and managing cloud-based data storage.
  • Experience identifying and mitigating security breaches at the laptop and M365 account levels.
  • Demonstrated experience acting as a local technical bridge between project needs and a centralized Global IT department.
  • Ability to review technical documentation and assist in the oversight of hardware and software vendors.
