Compensation

At S&C, we are dedicated to providing competitive and equitable compensation for all our team members, and we are committed to transparency in our pay practices. The estimated annual base salary range for this position in the United States is $ $79,827 - $105,767.86. Individual pay within this salary range is determined by several compensable factors, including performance, knowledge, job-related skills and experience, and relevant education or training. This role is also eligible for S&C's annual incentive plan (AIP), subject to eligibility criteria.

Join our Team as a Senior Executive Assistant!

The Senior Executive Assistant is responsible for providing business and administrative support to members of the C-Suite, including the Chief Legal Officer, Chief Financial Officer and SVP, International Markets. The successful candidate for this position must possess outstanding written and verbal communication skills and exemplary attention to detail. They must have the ability to identify, prioritize, and execute complex deliverables in a fast-paced environment while safeguarding confidentiality. They must also have a thorough understanding of the Microsoft Office suite of software, familiarity with or willingness to learn Diligent board software, other IT and communication tools, and apply best practices to all.

Key Responsibilities

  • Act as an administrative support to the C-suite, overseeing incoming communications, including mail, phone calls, bills, and meeting intake. Prioritize and maintain complex appointment calendars, coordinate with key meeting stakeholders, taking initiative to reschedule appointments as necessary.
  • Coordinate executive and executive direct report workflows by managing schedules, prioritizing tasks, and coordinating logistics for meetings and travel (domestic and international), including working with Concur and travel booking providers.
  • Facilitate effective communication between the C-suite, senior leadership, board members, customers, and external partners. Prepare and distribute communications, presentations, and reports, ensuring clarity and consistency in messaging.
  • Supports the organization and publication of Board materials including materials supporting quarterly and special Board meetings, Board Committee meetings, as well as keeping and maintaining materials published to the Board Resource Center. Assist C-Suite in preparations for and interactions with company Board of Directors.
  • Support the Chief Finance Officer in coordinating leadership team meetings, finance organization forums, and team engagement activities, including meeting logistics, materials preparation, follow ups, and internal communications.
  • Assist with planning and execution of team engagement initiatives, offsites, and communications that support organizational effectiveness and employee engagement.
  • Organize sensitive and confidential information with the utmost discretion. Maintain organized records, files, and databases, ensuring data security protocols are adhered to at all times.
  • Prepare and track expense reports. Manage intake and processing of legal bills and other company bills.
  • Compose general business correspondence that requires basic knowledge of S&C's organizational structure, products, and industry. Proofread and edit correspondence, as needed.
  • Use sound judgment to prioritize, anticipate, and follow up to achieve objectives and complete tasks with little supervision.
  • Complete additional project/administrative work as needed.
  • Facilitate teamwork, promote cooperation, and exhibit a high level of professionalism.
  • Understand and comply with all applicable Company policies and rules.
  • Maintain regular and punctual attendance
  • Attend in-person or virtual meetings as requested or required
  • Communicate effectively and respectfully with others
  • Other responsibilities as assigned

What You'll Need to Succeed

  • A bachelor's degree in a related field or equivalent experience
  • 7+ Years of demonstrated progressive experience in a position supporting the C-Suite of a large organization.
  • Proven track record in streamlining C-suite support processes and driving operational efficiency within a high-level executive environment. Takes ownership of administrative support processes and has the ability to hold oneself accountable for success.
  • Strong interpersonal and networking skills with the ability to build and maintain relationships with high-level key stakeholders, both internally and externally, while fostering collaboration and partnership for future success.
  • Excellent professional communication skills, both written and verbal, with the ability to communicate effectively with diverse stakeholders, including senior executives, customers, board members, and external partners.
  • Strong organizational skills with a keen ability to prioritize tasks, manage multiple assignments and schedules concurrently, and consistently meet tight deadlines.
  • Good analytical and research skills, with the ability to gather, analyze, and summarize information to support executive decision-making processes.
  • Basic project management skills with experience in participating in projects from initiation to completion, ensuring timely delivery and alignment with strategic priorities.
  • Ability to maintain highly confidential information.
  • Highly proficient in Microsoft Office products, including Outlook, Excel, and PowerPoint, with experience managing multiple executive accounts simultaneously.

Preferred

  • Experience working with or supporting Board of Directors
  • Previous experience supporting an executive team in a multinational organization.
  • Previous experience working in legal or finance department, including working to support Board of Directors meeting preparation and using Diligent or similar Board software
