Position Description

The Human Resources department at Cold Spring Harbor Laboratory is seeking an experienced Talent Acquisition & Onboarding Coordinator to join our team. In this role, you will play a key part in enhancing the efficiency and effectiveness of HR operations, supporting the organization's strategic goals, and contributing to a positive employee experience. You will also provide essential support across a range of HR functions, including recruitment, onboarding, and day-to-day administrative activities.


Position Responsibilities

  • Post job announcements, initiate background check requests, process employment requisitions, and monitor and respond to the Recruitment Job Support email inbox to ensure timely and efficient communication.
  • Review and process incoming job requisitions to ensure accuracy
  • Assist with career fair registration and creating flyers. Attend Career Fairs when needed.
  • Coordinate and facilitate onboarding processes for all student populations including Rotating Students, Students in Residence, Visiting Students, Scholars, and SRIMs, ensuring efficient management and a seamless onboarding experience across all programs.
  • Review applications and send invites on Indeed.
  • Assist when needed with the USCIS Form I-9 (Employment Eligibility Verification) and E-Verify for new non-benefit eligible employees for orientations
  • Compiling orientation packets for culinary services
  • Coordinate recruitment and onboarding processes by managing the Onboarding System, including assigning checklists and finalizing and processing all required documentation, and by planning and facilitating orientations for Seasonal, Temporary, and Part-Time Non-Benefit eligible employees and non-employees
  • Ensure new employees are equipped with the necessary resources and support to integrate smoothly and effectively into the organization.
  • Provides coverage for HR Operations Assistant as needed.
  • Manage the Fitness Center and SightMD Wellness Center fees for Visiting Students, Visiting Scientists, Visiting Clinical Researchers, HHMI, URPS and Neuro AI's by communicating payment details during onboarding, collecting fees during the orientation, and coordinating the cash handoffs with the Finance and Accounting department.
  • Support the onboarding process for benefit-eligible employees following offer acceptance, ensuring timely completion of all required steps and documentation.
  • Serve as back at the front desk managing incoming calls and provide assistance to visitors
  • Other duties as assigned

Position Requirements

EDUCATION:

  • Bachelor's degree or equivalent in communications, human resources or a related field.
  • PHR/ SHRM-CP Certification is preferred but not required.

EXPERIENCE: One to three years of related experience.

SKILLS:

  • Computer literacy including Windows OS, MS Word, MS Excel, MS Outlook and databases.
  • Ability to multi-task in a fast-paced environment.
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively.
  • Strong analytical skills.
  • Excellent communication and interpersonal skills.
  • Attention to detail and accuracy in handling sensitive HR information.

Compensation and Benefits

The salary range and/or hourly rate listed is a good faith determination of potential base compensation that may be offered to a successful applicant for this position at the time of this job advertisement and may be modified in the future. When determining a base salary and/or rate, several factors may be considered as applicable (e.g., years of relevant experience, education, credentials, and internal equity).
