Position Summary

The GSE Administrative Assistant supports the day-to-day administrative operations of the Ground Support Equipment (GSE) department. This role is responsible for maintaining accurate records, coordinating maintenance documentation, assisting with scheduling, and ensuring effective communication between technicians, management, and customers.

Key Responsibilities



  • Maintain and update equipment maintenance records, work orders, and service histories
  • Create, track, and close out work orders in a timely manner
  • Assist with scheduling preventative maintenance (PMI) and repairs for GSE units
  • Coordinate with technicians and supervisors to ensure accurate documentation of completed work
  • Track equipment status, including units out of service and available inventory
  • Prepare reports on equipment performance, downtime, and maintenance trends
  • Manage parts ordering, inventory tracking, and vendor communication
  • Organize and maintain filing systems (digital and physical)
  • Assist with billing, invoicing, and data entry as needed
  • Communicate updates to internal teams and customers regarding equipment status
  • Support compliance with company policies, safety standards, and regulatory requirements


Qualifications



  • High school diploma or equivalent (associate degree preferred)
  • 1-3 years of administrative experience (fleet, maintenance, or aviation support preferred)
  • Strong organizational and time management skills
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Experience with maintenance management systems. Service Channel or EBIS is a plus.
  • Ability to multitask and prioritize in a fast-paced environment
  • Strong communication and interpersonal skills


Preferred Experience



  • Familiarity with ground support equipment or fleet operations
  • Understanding of preventative maintenance programs
  • Experience working with technicians or maintenance teams


Work Environment



  • Must be comfortable working in an office located within an active maintenance shop environment on an airport.
  • Frequent interaction with maintenance personnel and equipment operations
  • May require occasional time in shop areas

Work Hours: Monday - Friday 8:00am - 4:30pm
