Position Summary

  • Provides general office support with a variety of clerical activities and related tasks. The receptionist is responsible for answering incoming calls, owning visitor/contractor entry processes, coordination of meetings, and other administrative tasks outlined below.
  • Performs routine administrative and clerical functions under general supervision to support Safety, Quality, , Production, and HR cross-functional teams.


Responsibilities


    • Administers and performs daily management of site visitor system, including verification entry into the facility processes in accordance to our policies, supporting check-in onsite, coordinating contractor visits and weekly communication to site on anticipated visitors.

    • Enter requests for new vendors ensuring all documentation is provided

    • Handling of required paperwork for new contractors is received for the onboarding process
    • As the primary contact for visitors, incumbent must be aware of them and follow-up to ensure they are attended to. Greeting visitors and salesmen and directing them to proper persons as well as answering facility main line phones, while maintaining entry records and badge organization.
    • Coordinates meetings and lunch requests, including ordering, set-up, and additional support as required.

    • Distributing mail and making copies if necessary.
    • Maintaining office supplies, meetings needs, and interfacing with cafe support.
    • Supporting HR by paying invoices, filing, scheduling interviews, bulletin/communication board owner, and new hire coordination
    • Support of Engagement Team activities and initiatives
    • Support of Safety initiatives and backup support for Safety program information computer inputs
    • Support of Production and planning with vacation coordination and creating, assembling, scanning, & filing work order packets
    • Support of Quality in assembling receiver packets for use by the quality team
    • Build and maintain good rapport with all internal and external customers

    • Required travel - less than 5%
    • All other duties as required



Qualifications


Required

  • High School Diploma or equivalent

  • Two years of administrative experience

  • Demonstrated administrative, reception, and customer service skills, preferably in a fast-paced working environment.

  • Strong attention to detail, good organizational skills, and the ability to prioritize changing situations on a regular basis with a high sense of urgency.

  • Ability to follow corporate policies and procedures and handle confidential information

  • Ability to recognize and solve typical problems and select solutions from established options.

  • Good interpersonal, written and oral communication skills to drive tasks to completion.

  • Ability to complete tasks timely and with a high degree of accuracy.

  • Strong customer relations skills to support daily interactions and positive engagement with both internal and external customers.

  • Proficient in Microsoft Office Suite, including Word for drafting communications, letters, memos; Outlook for email & conference room scheduling and resource management, PowerPoint slide preparation for presentations, and Excel for general reporting and tracking.

  • Proficient in reading, writing and speaking English

Preferred

  • Three + years of admin experience

  • Experience with Manufacturing

  • Associate degree or 2 years of college/vocational training
