Job Summary

This position will be responsible for maintaining highly confidential reports, coordination of security training, maintaining numerous accounts from vendors, liaise between agencies and Security, maintaining ID system data, personnel file record keeping, routine administrative functions, receiving visitors, communicates and coordinates security assessments.

Handles day to day needs of office.

Essential Functions

  • Coordinates all meetings, keeps organized record of all interactions. This position will also be responsible for managing documentation related to contracts, including agreements and their amendments, and compliance reports.
  • Responsible for managing documentation elated to contracts, including agreements and their amendments and compliance reports.
  • This position will be responsible for tracking all Security Officer's licenses. This will involve regularly using databases to check licenses, record keeping, monitoring expiration dates. Additionally, this position will escalate any upcoming license expirations to leadership. This position will also be responsible for submitting formal communications of expiring and lapsed licenses.
  • This position will be responsible for handling the daily office needs, this will include, administrative tasks, answering phones, ordering supplies.
  • Enters and maintains Security Incident reports in Omnigo Software in a highly secured & confidential manner.
  • Support Security team through coordinating, organizing, and reviewing Security Site Assessments.
  • Assists in Security Workplace Violence investigation unit with high confidential incident reports.
  • Enters personnel data into ID System, print ID cards and provide supplemental ID cards (Compliance cards). Produce ID cards to all Montefiore associates; including new hires, transfers, lost cards. Coordinates with HR and Cashier to ensure information is correct.
  • Provides access to secured exits/entrances at offsite locations with proper approval.
  • De-activate access for terminated associates based on monthly confidential HR reports.
  • Provides confidential access control audit reports of MMC associates to Security leadership.
  • Completes and files personnel records/files according to HR Policy and Joint Commission Standards; to assure efficient retrievability.
  • Maintains inventory of office and ID supplies, orders supplies when necessary for department, contact equipment vendors when routine maintenance and repairs are necessary.
  • Coordinate departmental office functions including organizing clerical functions and determining priority of tasks
  • Maintain all quotes, assessment records and documents related to assessments.
  • Performs a wide variety of complex, responsible and confidential duties for Security leadership as assigned; including assisting and mainlining monthly OT reports, manual restraints and Security monthly activity reports.
  • Comply with NYPD in providing information on associates with approval of legal department and security leadership.
  • Maintains confidential information; including but not limited to arrest warrants, orders of protection, etc.
  • Oversee billing for Security officer's uniforms; maintain accounts in good standing, monthly meeting with outside vendors (uniform orders and dry cleaning services).
  • Process and maintain records for IT service requests for security department, including ordering new equipment and repairs of existing equipment.
  • Provides and maintains time and attendance reports in UKG management staff.

Requirements:

  • Bachelor degree is preferred.
  • Five years of related experience is required.
  • Amag Symmetry (High proficiency).
  • Omnigo for Security Reports (High proficiency).
  • Microsoft Word & Excel (High proficiency).
  • Fax Machine, Copier, etc. (High proficiency).
  • Ability to type 45 or more WPM in a fast-paced environment; Excessive data-entry; highly secured & confidential in a timely fashion is preferred.
  • Attention to detail (High proficiency).
  • Excellent communication skills (High proficiency).
