The compensation offered to the candidate selected for the position will depend on several factors, including the candidate's educational background, skills and professional experience. Job Overview: The Insurance Coordinator position will administer the Athletic Health Insurance Program for student athletes, coordinate all student insurance benefits, communicate with medical providers and insurance companies to ensure proper billing, take an active role in cost containment wherever possible, and assist in finding ways to cover costs for athletically related and non-athletically related injuries and illnesses. Qualifications: Required:
- Bachelor's degree or equivalent combination of education and/or experience
- Experience in all areas of Medical Insurance, including billing, CPT and ICD-10 coding, claim submission, precertification and authorizations
- Experience with varying types of insurance coverage, i.e. HMO, POS, PPO
- Experience in a healthcare service environment, or similar service environment, to include basic secretarial skills, and database experience
- Understanding of pertinent issues in athletic medicine/ health, including confidentiality and time-sensitive issues
- Database computer skills. Ability to compose correspondence and statistical reports. Ability to read and interpret medical-technical language
- Proficiency with EMR systems, practice management software, standard office equipment and software such as Microsoft Word, Excel, and email
- Must possess excellent interpersonal skills, written and verbal communication skills, and organizational skills
- Must be able to maintain a high level of confidentiality and understand HIPAA and other regulations that must be followed in the health care environment
- Ability to work independently and manage multiple processes simultaneously
Preferred:
- Four years minimum experience in medical insurance claim processing and billing

Essential Functions: Insurance Claims Program for Student Athletes:
- Implement and maintain a comprehensive insurance claims program for student athletes. Responsible for handling and processing of insurance claims for officially rostered student athletes who participate in scheduled intercollegiate sports activities and sustain a loss at Rutgers. Ensure payments are made within the limits of the athletic insurance policy and confirms contractual adjustments. Reviews insurance claims (CMS-1500 and UB-04) for accuracy of ICD-10 diagnosis codes and CPT/HCPCS procedure codes. Certifies coordination of benefits with primary and/or secondary insurance carriers. Verifies insurance for services received at the Sports Health Suite. Assists RWJMG Billing Department in processing billing, claims management and internal audits.
Billing and Insurance Claims:
- Review all bills and claims for accuracy and complete all necessary follow-up with medical providers, financial, legal, and university community, student athletes, parents, athletic trainers, and insurance companies, including written, verbal, and fax correspondence. Ensure inaccurate billing is corrected and rebilled
Cost Containment:
- Obtain necessary pre-certifications and authorizations for various procedures and services to ensure coverage through insurance
Student Athlete Insurance:
- Compile and maintain medical insurance information of all student athletes to identify primary insurance. Scan documents to necessary systems for Rutgers, Robert Wood Johnson Barnabas Health, etc.
Communications:
- Provide pertinent feedback to the Supervisor, Head Team Physician, Chief Medical Officer, or the Office of Risk Management on problematic cases. Within the bounds of confidentiality and other related matters of propriety, ensure that coaches, allied health care providers, and staff are aware of information related to athlete's health matters.
- Ensure clear, concise communication with all parties, including student-athletes. Ensure the proper flow of communication by participating in departmental staff meetings, management meetings, and memos. Meet with supervisor on a regularly scheduled basis to review professional progress and related matters
Compliance:
- Protect patient confidentiality and adhere to all HIPAA regulations and office policies and procedures. Ensure office operation that is consistent with RWJBH Ambulatory office practice guidelines and Rutgers University policies and procedures. Perform the above with the highest standard of professionalism and ethical behavior and in accordance with health system, university, departmental, B1G or other affiliated conference, and NCAA regulations, policies, and procedures
Process Improvement:
- Reviews insurance contracts and makes recommendations on insurance policy and procedures under the direction of the Head Team Physician, Chief Medical Officer, and Office of Risk Management
In addition to the primary functions listed above, the Insurance Coordinator will provide additional support of the Rutgers Athletics Sports Health Suite in one or both of the following areas of need.
- Assist with scheduling student athlete appointments and procedures and managing check in and out process. Answer and direct phone calls, and manage mail. Register new patients into the EMR system. Coordination of yearly physicals for incoming and returning student athletes
- Assist with clinical responsibilities which may include performing initial patient evaluations, taking histories, implementing treatment/rehab plans, assisting with in-office procedures, managing durable medical equipment, patient education, and documentation, and other duties as assigned
