Summary:
North Carolina Children's, a new children's health system in North Carolina, will be the state's only academic health system dedicated solely to caring for kids.

The NC Children's Foundation Executive Coordinator - Philanthropy will play a key role in supporting the philanthropic and executive operations of NC Children's Foundation. This position will serve as a trusted partner providing high-level administrative, operational, and strategic support to the Foundation's executive team, including the Foundation President and two Assistant Vice Presidents. The role requires a solid understanding of the operations, strategies, and goals of a growing philanthropic organization.

This is an exciting opportunity to join the NC Children's Foundation at a formative stage and contribute to building a world-class philanthropic program from the ground up.

Responsibilities:
1. Provides research and analysis to prepare briefing materials for the President and Assistant Vice Presidents. Manages multiple tasks with competing deadlines. Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.

2. Plan and execute donor meetings and events, including invitations, logistics, vendors, timelines, and follow-up communications.

3. Support each Executive's data entry, coding, and donor record management in the Foundation's donor database (CRM). Maintain high standards for data integrity and donor confidentiality.

4. Support the creations of systems of organization and tracking of Foundation files, including gift agreements, vendor contracts, donor correspondence, briefing materials, presentations, and proposals.

5. Responds to routine and non-routine inquiries regarding system operations, policies, and procedures. Forward situations and issues to the appropriate staff members for resolution.

6. Performs and/or oversees a wide range of special projects or assignments that are highly sensitive or complex in nature, requiring a high level of independence and initiative in execution and implementation.

7. Makes high-level contacts of a sensitive nature regarding routine & non-routine issues internally and externally requiring a high degree of discretion and diplomacy and time sensitivity. Understands the systems goals and priorities of the executive, to prioritize issues according to urgency.

8. Coordinating all aspects of the interview process, including scheduling phone screens, interviews, and handling logistics such as travel accommodations and preparing detailed itineraries for candidates and interviewers. Ensuring smooth communication between all parties by managing schedules, confirming appointments, and addressing any last-minute changes or requirements to guarantee a seamless interview experience.

9. Assist the President with the planning and preparations for the Foundation's Board meetings and deliverables for Foundation board members.

10. Plans, coordinates and ensures the Executive's schedule is followed and respected. Provides gatekeeper and gateway role, creating win-win situations for direct access to the Executive's time and office. Provides leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the President, some of which may have organizational impact.

11. Prepares and edits complex presentations, charts, and other written correspondence that best depicts content of intended message to internal and external stakeholders. Support with meeting preparation and briefing materials.

12. Provides support to the NC Children's Foundation Board of Directors with the planning and preparations for the NCCF Board Meetings.

Education Requirements:
* Bachelor's degree in an appropriate discipline or equivalent.
Licensure/Certification Requirements:
* No licensure or certification required.
Professional Experience Requirements:
* If Bachelor's degree: Three (3) years of experience in an administrative support role and/or projects-related role.
* If Associate's degree: Seven (7) years of experience in an administrative support role and/or projects-related role.
* If High School or GED: Eleven (11) years of experience in an administrative support role and/or projects-related role.
Knowledge/Skills/and Abilities Requirements:
* Advanced proficiency in Microsoft PowerPoint, Excel, and Word preferred.
