Overview

The Assistant Property Manager (APM) plays a critical role in supporting the overall success of the property by focusing on resident relations, delinquency management, and team supervision. This position is responsible for fostering positive resident experiences, ensuring timely rent collections, and maintaining accurate financial records. The APM directly supervises the Resident Services Coordinator, who manages resident-facing customer service, and the Vendor Coordinator, who oversees daily vendor traffic and service coordination.

In the absence of the Property Manager, the APM assumes full responsibility for property operations and ensures that all objectives are met in alignment with company standards.



Responsibilities

Resident Relations & Delinquency Management

    Serve as the primary point of contact for resident concerns, ensuring prompt and professional resolution.
  • Monitor and manage delinquency daily, including delivery of notices (e.g., 3-Day, Notice to Cure, Eviction).
  • Collaborate with the RAC team to ensure accurate posting of rent, fees, and deposits.
  • Maintain up-to-date records of rent collections, payment plans, and resident communications.
  • Conduct unit walks and occupancy checks for delinquent accounts.
  • Review and validate Conservice utility reports and lease charge reports prior to posting.
  • Perform accounting month-end procedures related to resident ledgers and GPR reports.

Team Supervision

  • Supervise and support the Resident Services Coordinator, ensuring consistent, high-quality resident service and communication.
  • Oversee the Vendor Coordinator, ensuring efficient scheduling, vendor compliance, and timely invoice processing.
  • Foster a collaborative and accountable team environment aligned with company mission, vision, and values.

Administrative & Operational Support

  • Ensure compliance with all company policies, Fair Housing, ADA, Fair Credit Reporting Act, and other applicable laws.
  • Assist in maintaining accurate records for move-ins/outs, application status, traffic activity, and leasing metrics.
  • Support leasing efforts as needed, including showing units and closing prospects.
  • Maintain awareness of market trends and contribute ideas to improve resident satisfaction and property performance.
  • Process purchase orders and invoices in coordination with maintenance and office teams.
  • Monitor budget variance reports and assist with reclasses and accruals as needed.
  • Review vendor statements and ensure timely payment and compliance with Net Vendor requirements.

Additional Responsibilities

  • Provide coverage as needed. In the absence of the Property Manager, the APM assumes full responsibility for property operations and ensures that all objectives are met in alignment with company standards.

  • Perform duties of a Leasing Consultant when property size requires.
  • Execute any additional tasks assigned by the Property Manager or Regional Manager.


Qualifications

  • Bachelor's degree preferred.
  • Prior leasing and/or property management experience preferred.
  • Excellent written and verbal communication skills providing for effective communication with residents, employees, peers, vendors, owners, etc. and to assist in efficient operations.
  • Excellent attendance is a requirement of the position.
  • Excellent customer service.
  • Positive attitude and highest level of professionalism.
  • Work a varied schedule including weekends and holidays as required.
  • Proficiency in Microsoft Office Suite including Word, Excel & Outlook.
  • Experience using YARDI preferred.
  • Ability to walk, stand; utilize stairs, bend on a daily basis, conduct property tours in various weather conditions, carrying of moderate items such as papers, boxes, event items, collateral, books, small parts. Job may be sedentary at times.
