We are seeking a Fleet Administrator to oversee the day-to-day operations of our vehicle and equipment fleet. This role is critical to ensuring our fleet operates safely, efficiently, and in full compliance with all regulatory requirements. The ideal candidate will bring a strong background in fleet management or maintenance, a keen eye for detail, and the ability to coordinate across teams, vendors, and job sites. - Oversee day-to-day operations of the vehicle and equipment fleet, including assignment and job site allocation.
- Manage the regular maintenance and servicing of Field Service equipment to ensure peak performance and safety.
- Develop and implement preventive maintenance schedules; track and maintain detailed service records.
- Troubleshoot and resolve mechanical issues, coordinating timely repairs with internal teams and external vendors.
- Monitor fleet and equipment performance, identifying opportunities to reduce costs, improve efficiency, and minimize downtime.
- Track vehicle and equipment usage, fuel consumption, and mileage through fleet management software.
- Ensure all vehicles and equipment comply with local, state, and federal regulations, including safety and environmental standards.
- Coordinate procurement of new and replacement vehicles and equipment; handle vendor research, relationship management, and assist with contract negotiations.
- Maintain accurate inventory of equipment, tools, and spare parts.
- Prepare and analyze performance reports related to fleet efficiency, repair costs, fuel usage, and utilization rates.
- Manage service contracts, warranties, and vendor agreements for maintenance and repairs.
- Ensure all required documentation for insurance, licensing, registration, and compliance is maintained and up to date.
- Assist the Transportation Director with preparing a fleet budget, including purchasing, leasing, and operational costs.
- Minimum 3+ years of experience in fleet management, maintenance, or operations-preferably in the transformer service industry.
- Proven knowledge of vehicle maintenance procedures.
- Strong leadership skills with experience managing teams across multiple locations or job sites.
- Proficiency with fleet management systems and tools; strong skills in Microsoft Office (Excel, Word, Outlook).
- Excellent organizational, time management, and problem-solving skills.
- Effective communication and interpersonal abilities.
- Familiarity with transportation laws, safety standards, and regulatory compliance requirements.
- Associate's degree in Logistics, Business Administration, Construction Management, or a related field preferred.
- Valid driver's license required; CDL is a plus.
