Job Description Summary:

The Administrative Associate, Residential Education, supports the Residential Education office by coordinating high-impact administrative and operational processes that enable the department to deliver a seamless residential experience.

Reporting to the Director of Residential Education, this position manages key departmental functions including purchasing and budget transactions; supporting recruitment, onboarding, and training processes for full-time, graduate, and student staff; serving as a primary point of contact for parent, family, and student inquiries related to the residential experience; overseeing data compilation, research, and internal reporting; and providing support to major/signature departmental programs and initiatives. The Administrative Associate collaborates extensively across Campus Living & Residential Education ( CLRE) and the Division for Student Affairs ( DSA), and serves as an essential hub of communication and coordination.

Position Summary:

  • Manage department-level purchasing, ordering, and vendor coordination, including program materials, supplies, technology requests, and service contracts; track expenditures and support budget reconciliation for Residential Education initiatives.
  • Assist with managing the Director of Residential Education's calendar, scheduling internal and external meetings on their behalf.
  • Assist with drafting both internal and external communications on behalf of the Director of Residential Education.
  • Oversee the CLRE Operations Calendar.
  • Oversee the organization of the CLRE Shared Drive and CLRE Leadership Shared Drive.
  • Coordinate the organization and restocking of the Residential Education resource rooms.
  • Coordinate and maintain administrative systems, forms, and documentation to ensure alignment with DSA/University policies and procedures.
  • Support logistics and scheduling for departmental meetings, retreats, trainings, and large-scale initiatives, including space reservations and materials preparation.
  • Support administrative components of recruitment processes for professional, graduate, and student staff, including posting positions, managing candidate communications, scheduling interviews, and maintaining records.
  • Support the planning and implementation of onboarding and training programs for full-time, graduate, and student staff; track completion of required trainings (e.g., student staff in-services, etc).
  • Manage and respond to complex inquiries from students, families, faculty, staff, and external partners related to the residential experience; triage issues to appropriate staff members.
  • Collaborate with the Housing Associate, Communications, to draft, edit, and distribute communications on behalf of Residential Education, including email responses, templates, website/newsletter content, guides, and informational resources.
  • Assist with special projects involving data collection, benchmarking, and report development to support decision-making and operational improvements.
  • Assist with the planning, coordination, execution, and assessment of Residential Education's signature and major programs.
  • Performs other duties as assigned by the Director of Residential Education. The omission of specific duties does not preclude the assignment of logically related responsibilities.

Minimum Qualifications:

Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

Preferred Qualifications:

  • Experience in higher education, student affairs, residence life, housing operations, or a related field is desired.
  • Demonstrated experience managing purchasing workflows, ordering, budgeting, or departmental operations is a plus.
  • Experience managing complex communications, including responding to parent/family inquiries, is preferred.
  • Experience in planning and executing large-scale programs or events is desired.
  • Strong written and verbal communication skills, responsive to diverse stakeholders, are a plus.
  • Ability to manage high-volume, time-sensitive tasks with accuracy and attention to detail.
  • Ability to maintain confidentiality and handle sensitive situations with professionalism.
  • Experience working in collaborative and fast-paced environments with shifting priorities is preferred.

Hiring Range $26.17 - $34.04
