Job Description
General Responsibilities:
Performs transactional procurement and expense-related activities. Understands and utilizes systems used and elevates issues to management for assistance and further evaluation. Supports the broader Procurement team as needed. Provides customer service and subject matter support to employees, office staff, and management.

Essential Roles and Responsibilities:
  • Create and monitor purchase requisitions through the approval process.
  • Assist operations with inquiries related to purchase requisitions and invoice processing.
  • Assist the procurement team to track submissions to Legal regarding contracts.
  • Organize and lead business reviews with select vendors and suppliers.
  • Create and manage payment request submissions.
  • Communicate proactively with operations and internal team members.
  • Submit, track, and manage new supplier requests.
  • Train end users on procurement tasks within the procure-to-pay system (enter requisitions, basic system navigation etc).
  • Review and update procurement match exceptions within the procure-to-pay system.
  • Run and analyze basic spend reports.
  • Review non-catalog requisitions to ensure accuracy and compliance with Procurement policies, procedures, and best practices.
  • Coordinate and track small projects or issues that may involve building maintenance, utilities, moving services, signage, or security.
  • Assist fleet and real estate teams with projects and data entry as needed.
  • Serve as a resource to offices by providing training on the new supplier request process.
  • Support Accounts Payable leadership with invoices queues.
  • Provide day-to-day assistance to vendors and offices regarding invoice inquiries and facilitate timely resolution.
  • Follow safety rules, guidelines and standards for all projects. Participate in pre-task planning. Report any safety issues or concerns to management.
  • Maintain quality standards on all projects.
  • Perform other duties as assigned.
Requirements:
  • High school diploma and a minimum of 3 years' related experience.
  • Basic knowledge of AP/AR area.
  • Basic knowledge of Real Estate category.
  • Strong accuracy with data entry.
  • Good knowledge of Excel and general computer skills
  • Strong customer service and communication skills.
  • A valid driver's license with acceptable violation history may be required.
