Description

Primary Purpose:

Responsible for a broad group of responsibilities and provides administrative support to the President & Chief Experience Officer and Executive Assistant to the President & Chief Experience Officer. Acts on behalf of our team in a manner that reflects our priorities, mission, guiding principles, and TowneBank brand. The Chief Experience Officer's team partners directly with Human Resources, Marketing, Learning & Development, Retail Banking, Private Banking, and Product Development.


Essential Responsibilities:



  • Manages and maintains employee time records for the team.
  • Prepares reporting as requested from the Chief Experience Officer and Executive Assistant to the Chief Experience Officer.
  • Processes corporate sponsorship requests and documents in Kadince.
  • Processes volunteer hours of the Chief Experience Officer in Kadince monthly.
  • Coordinates meetings and functions, including scheduling rooms, meeting handouts, and catering.
  • Coordinates travel arrangements for Chief Experience Officer.
  • Facilitates the Member Experience Stars process on behalf of the Chief Experience Officer and Chief Operating Officer.
  • Prepares correspondence and PowerPoint presentations for members or the team.
  • Handles confidential matters with discretion.
  • Prepares Business Visa expenses for the team.
  • Manages the office supplies and marketing inventory needed for employee recognition.
  • Distribute cards and communications to employees, members, and directors.
  • Distribution of numerous sponsorship event tickets for member entertainment.
  • Research member complaint issues and summarize so the Chief Experience Officer may promptly respond to members.
  • Completes other general administrative duties, including filing, sharing of daily and monthly reporting, and scheduling appointments and meetings.
  • Perform other incidental and related duties as required and assigned.
  • Adheres to applicable federal laws, rules, and regulations including those related to Anti-Money Laundering (AML) and the Bank Secrecy Act (BSA).



Minimum Required Skills & Competencies:



  • 2+ years experience providing high-level administrative support to executive leadership.
  • Proven ability to independently perform duties with confidentiality and strong attention to detail.
  • Excellent time management, prioritization, and organizational skills.
  • Demonstrated proficiency with Microsoft Word, Excel, PowerPoint, and Teams.
  • Ability to exercise discretion, confidentiality, and judgement in dealing with sensitive issues and information.
  • Strong oral and written communication skills.
  • Excellent customer service skills and telephone manners.
  • Ability to work independently, prioritize, and multitask multiple responsibilities.
  • Skilled in managing complex calendars, board communications, and confidential correspondence for executive leaders.



Desired Skills & Competencies:



  • Experience with Towne's banking software (i.e., Insight, Power BI, BPI, and NetImage).
  • Experience in banking.



Physical Requirements:



  • Express or exchange ideas by means of the spoken word via email and verbally.
  • Exert up to 20 pounds of force occasionally, use your arms and legs, and sit most of the time.
  • Have close visual acuity to perform activities such as analyzing data, viewing a computer terminal, reading, and preparing documentation.
  • Not substantially exposed to adverse environmental conditions.
