Summary:

The Administrative Assistant position provides professional administrative services to improve operating efficiency for the US-based R&D leadership team. This role will report to the VP of US Regulatory Affairs, and under direct supervision, will support leaders across several US R&D teams to plan, prioritize, communicate and organize workloads. Specific support responsibility will be to US teams including US Regulatory, Global Patient Safety, Clinical Operations, and Patients Insights and Quality.

Essential Functions:

Provides professional administrative support to the US based R&D leadership, which may include:




  • Maintain cross functional calendars for leaders with US R&D leaders, including Regulatory, GPS, Clinical Operations, Patients Insights and Quality
  • Schedule, coordinate, and execute hybrid (in-person/virtual) meetings
  • Serve as the home office/ US based liaison for R&D visitors, which may include scheduling meetings, coordinating travel, and executing necessary visit logistics
  • Help organize US based R&D team events, along with department leadership
  • Serve as US based R&D point of contact for new employee onboarding for home office
  • Create documents and presentations using Word and/or PowerPoint as directed
  • Coordinate travel arrangements for US based R&D leadership, in line with company travel policy
  • Compile and process expense reports
  • Coordinate interview schedules for the US based R&D leadership and their direct reports
  • Initiate Purchase Orders upon request (including applicable signatures and payment coordination)
  • Aggregate and submit contracts and SOWs to the appropriate internal systems and track progress towards signature
  • Support US based R&D team personnel, as needed
  • Other miscellaneous duties as assigned, including administrative tasks that support US R&D and require home office (non-virtual) support



Required Education, Experience, and Skills:



  • High School Diploma/GED
  • 3+ years of administrative experience supporting multiple individuals in a fast-paced environment
  • Ability to handle day-to-day activities for a busy department while meeting important deadlines on a variety of projects
  • Proficient in MS Word, Excel, PowerPoint, and Outlook
  • Clear and professional, written, oral, and interpersonal skills
  • Solid internet research abilities
  • Excellent organizational and time management skills with the ability to multi-task
  • Ability to handle sensitive information with the highest degree of integrity and confidentiality
  • Demonstrated initiative and flexibility
  • Ability to work well in a team and hybrid environment
  • Ability to accomplish set objectives with minimal supervision
  • Detail oriented and self-motivated



Preferred Education, Experience, and Skills:



  • 3+ years direct R&D department experience
  • Experience in the pharmaceutical industry
  • Accredited BS/BA degree



Travel:



  • No overnight travel requested unless unique circumstances arise



The range displayed is specifically for those potential hires who will work or reside in the state of Illinois, if selected for this role, and may vary based on various factors such as the candidate's qualifications, skills, competencies, and proficiency for the role. Salary Pay Range: $60,000 - $80,000 and eligibility for a 8% bonus target based on company and individual performance, and eligibility to participate in the company's long-term incentive plan. Additional benefits for this position include flexible paid time off (PTO), health benefits to include Medical, Dental and Vision and company match 401k.
