The Correspondence Coordinator supports the Building Services Division (BSD) Support Group by managing, drafting, and tracking all formal communications and documentation for projects. This role ensures that correspondence between project teams, clients, subcontractors, and vendors is professional, timely, and compliant with McKenney's standards. The Correspondence Coordinator plays a key part in maintaining accurate records and supporting project managers and operational teams in achieving communication excellence.
JOB RESPONSIBILITIES
- Draft, review, and distribute project correspondence including letters, notices, transmittals, and meeting minutes.
- Maintain detailed correspondence logs and filing systems (electronic and hard copy) for easy access and accurate record-keeping.
- Coordinate with project managers, field staff, and administrative personnel to ensure communications are prepared and delivered on time.
- Assist in preparing standardized templates and communication tools for consistency across BSD projects.
- Track responses and deadlines tied to project communications, escalating concerns as needed.
- Ensure all correspondence adheres to McKenney's documentation standards and client requirements.
- Support BSD Support Group leadership in producing reports and summaries of correspondence activity.
- Provide administrative assistance for project-related communication needs and special assignments.
BASIC QUALIFICATIONS
Education and Experience
- Associate's degree in Business Administration, Communications, or related field; or equivalent work experience.
- 1-3 years of experience in administrative support, documentation, or correspondence management.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong grammar, proofreading, and formatting skills.
- Ability to work under deadlines and manage multiple priorities simultaneously.
