Under general supervision performs the same duties as an experienced Operations Administrative Coordinator plus a variety of other duties.
Core Responsibilities
- Prepares and processes time sheets for Union employees, and may process annual reviews for management employees.
- Assists in performing routine computations, tabulations and analysis of department data.
- Responsible for the typing of letters, notifications and departmental reports and updates as required.
- Creates and updates files in all appropriate company systems to ensure proper record keeping and regulatory compliance.
- Responsible for the administration and reconciliation of petty cash and departmental P-cards.
- Responsible for the tracking and follow-up for payment on all requisitions for departmental equipment and materials.
- Initiates vendor contact and coordinates vendor activities for periodic work in accordance with departmental requirements.
- Responsible for preparation of annual standby lists for both Union and Management personnel, updating as necessary.
- Maintains low overtime list for call-outs of Union personnel.
- Tracks sick time for monthly sick reports and to ensure compliance with Company sick time guidelines.
- Operates and maintains various office machines and equipment, including but not limited to personal computers, facsimile machines, copiers, printers, telephones, etc.
- Handles telephone calls from both inside and outside Company, making appointments, handling and tracking all mail, filing of all departmental related reports.
- Perform general clerical duties as required of the office such as; maintain inventory/ordering supplies and perform all related or less skilled duties as assigned.
- Perform all duties in accordance with Company Safety Rules and Regulations and Good Housekeeping practices.
- Analyze/enter data and assign crews on the Outage Management System (OMS) and other emergency management systems during significant events.
- Employees within these new Operations clerical floater titles will be able to move to all areas within Operations and will also support the following operational functions: Electric Line and Underground, Gas Operations, Substations and Control Room, without regard to the department to which they report.
Required Education/Experience
Relevant Work Experience
- Must have 18 months experience as an Operations Administrative Coordinator or equivalent. Required
- Must be in sound physical condition. Required
- Must be capable of performing computer system data entry work and operating office machinery and equipment. Required
- Must possess the qualities of neatness, cleanliness and orderliness in work and in person. Required
- Must be capable of working harmoniously with others in an office environment Required
