Position Summary/ Department Summary:
The Aerodigestive Center at Boston Children's Hospital sees children who have trouble swallowing or breathing or who have related gastrointestinal issues in addition to respiratory symptoms. Established in 2006, the center is one of the oldest in the country and the model upon which about half of similar centers are now based. With the highest volume of pediatric patients in the U.S., we have the extensive experience necessary to care for kids with both common and rare disorders involving the respiratory and digestive system. These include functional and structural disorders of the upper gastrointestinal tract disease and lungs due to congenital or developmental abnormality or injury, swallowing dyscoordination, feeding problems, genetic diseases, and neurodevelopmental disability.


Hybrid 3 days remote, 2 days in-person. Monday-Friday 8:00am-4:30pm.

Key Responsibilities:
The Senior Administrative Coordinator will:


Help with Authorizations
* Manages the authorization process for a significant variety of medicines, specialized
treatments, medical procedures, etc. for patients across multiple providers and specialties.
Prepares letters of medical necessity based on physician's notes.
* Under supervision, coordinates with insurance companies, specialty pharmacies and
patient's families for the delivery of the specialized treatments during clinic visits.
* Coordinates appeals with clinicians and patient families by preparing letters of appeal or
connecting the clinician directly with the insurance company.
* Serves as point of contact and subject matter expert on the process for obtaining and
responding to additional requests for prior authorizations across relevant insurance
companies for supported clinical area. Coordinates as necessary with pharmaceutical
companies to improve processes for obtaining authorizations for the most complex drugs.
Discusses the implications to administrative processes resulting from changes in drugs or
in insurance companies' processes with the external organization's representative.
* Patient Encounters
* Answers, screens and routes a high volume of phone and email inquiries from patients
and families and external companies in coordination of services. Records and forwards
messages and triages calls to nurses, physicians and numerous other providers for urgent
information or services. Initiates calls for emergency services as required.
* Responds to patient's concerns and needs within scope of knowledge and authority and in
accordance with our best practices and procedures. Responds to situations requiring
escalated service response, ensuring the appropriate providers and parties across
multiple specialty areas are made aware of concerns and follows up to ensure resolution.
* Schedules patient encounters and procedures to coordinate within and across providers in
multiple specialties. Obtains and records required authorizations on electronic or manual
scheduling systems to compile and distribute patient and staff schedules. Verifies patient
demographics, insurance/payment and referral information for patient encounters. Collects
all necessary clinical documentation and information.
* Collects and organizes medical records, information, materials and supplies required for
admissions or encounters. Prepares requisitions and other standard forms as requested
by clinician or supervisor. Communicates with other departments to coordinate ancillary
clinical/administrative services. Prepares, routes and tracks routine administrative forms
and documents.

Education: Required high-school or GED diploma.
Experience: Required 2 years experience including healthcare or health insurance setting working with prior authorizations.

The posted pay range is Boston Children's reasonable and good-faith expectation for this pay at the time of posting.

Any base pay offer provided depends on skills, experience, education, certifications, and a variety of other job-related factors.
