Seeking a professional, organized, and customer-focused Receptionist to serve as the first point of contact for all visitors and callers. This individual will manage front desk operations, support internal teams, and ensure a welcoming and efficient office environment. The ideal candidate will possess strong interpersonal skills and the ability to interact effectively with senior-level executives, property managers, clients, and vendors while maintaining exceptional customer service standards.

Responsibilities
  • Open office each morning by unlocking doors and turning on lights; secure reception area at closing.
  • Manage company phone lines, screen and direct calls appropriately.
  • Check and distribute emails, faxes, and voicemails; forward communications to appropriate team members.
  • Greet visitors, confirm appointments, notify appropriate staff, and ensure a professional and welcoming experience.
  • Maintain a clean, organized, and well-stocked reception area.
  • Update and maintain phone lists, email lists, and reference materials.
  • Open, stamp, sort, and distribute incoming mail.
  • Log all incoming and outgoing packages; coordinate FedEx, UPS, and courier pick-ups.
  • Assist with preparation of community mailers.
  • Alert appropriate personnel regarding customer concerns or complaints.
  • Support the Executive Assistant and other team members as needed with supervisor approval.
  • Manage postage machine responsibilities.

Shift: Monday-Friday 8:30a-5p
