Join the Meetings & Courses team at Cold Spring Harbor Laboratory as a Junior Accountant and contribute to the financial operations behind world-class scientific programs. In this role, you will support the full lifecycle of meeting finances-monitoring payments, resolving discrepancies, reconciling registration data, and preparing cash reports for financial close. This position also offers the opportunity to collaborate across the department on special projects, providing meaningful support to a globally recognized research and education community.

Position Responsibilities

- Record meetings & courses payments, including credit cards, wire transfers, ACH, checks
- Monitor database to ensure timely payment from participants
- Identify and report payment discrepancies to conference coordinators
- Generate cash reports and payment summary packets (wire and ACH)
- Manage credit card refunds, voids, and chargeback resolutions
- Collaborate with accounting staff to resolve chargeback issues and recover funds
- Reconcile registration data with fee payments (Authorize.net, wire transfers, and checks)
- Maintain and update pivot tables to track course payments for reconciliation purposes
- Reconcile financial reports for meetings and courses upon closeout
- Set up AMEX accounts and route submissions for approval
- Monitor and track meeting income and expense reports
- Assist with journal entries and financial close processes
- Provide financial payments support to the CSH Asia office as needed
- Follow up and assist with Course Faculty expense reimbursements
- Support additional departmental projects and tasks as assigned

Position Requirements

EDUCATION: Associate or Bachelor Degree (Bookkeeping/Accounting preferred) EXPERIENCE: 0-2 years of accounting experience, preferably with not-for-profits SKILLS: The ideal candidate is highly organized and detail-oriented, with strong mathematical aptitude and the ability to manage multiple priorities while consistently meeting deadlines. They possess excellent verbal and written communication skills and are proficient in the Microsoft Office Suite, particularly Excel. Experience with Workday is a plus.

The salary range and/or hourly rate listed is a good faith determination of potential base compensation that may be offered to a successful applicant for this position at the time of this job advertisement and may be modified in the future.
