The Financial Aid Counselor (FAC) II position administers assigned scholarship and financial aid programs within the Office of Student Financial Aid. This role serves as a financial aid advisor for an assigned caseload of students, applying federal, state, and institutional regulations to casework and scholarship awarding. The FAC II exercises some independent judgment in resolving routine to moderately complex student aid issues and supports unit operations through reporting, compliance activities, and collaboration with campus partners.

The Financial Aid Counselor II is responsible for administering assigned scholarship and financial aid processes while ensuring compliance with federal, state, and university regulations. This position supports established procedures, monitors reports, resolves student eligibility issues, and assists with the accurate awarding and disbursement of scholarship funds. The FAC II works collaboratively within a designated team to support operational efficiency and student success on the Funds Management and Special Programs team.

Responsibilities

Scholarship Awarding and Case Management

  • Administer assigned scholarship programs by reviewing student eligibility, resolving routine verification issues, and ensuring timely awarding and disbursement of funds.
  • Monitor eligibility for new and continuing scholarship recipients, including renewal criteria and enrollment requirements.
  • Review financial aid files for accuracy, completeness, and compliance with program guidelines.
  • Communicate with students regarding scholarship status, documentation requirements, and financial aid responsibilities via phone, email, and in person.

Financial Aid Processing and Compliance

  • Run and review daily and weekly reports related to scholarship and financial aid processing to support Title IV, state, and institutional compliance.
  • Apply federal, state, and institutional regulations and Office of Scholarships and Financial Aid policies to casework and awarding decisions.
  • Assist with reporting and audit support activities related to scholarships and financial aid programs, as assigned.

Operational Support and Documentation

  • Maintain accurate forms, reports, and files related to scholarship administration.
  • Assist with maintaining policies and procedures documentation for assigned scholarship processes.
  • Assist with developing and updating written informational materials related to scholarships and financial aid processes.

Collaboration and Service

  • Serve as a liaison with other university departments, parents, and external agencies to exchange information and resolve routine scholarship-related issues.
  • Escalate complex or unusual issues to supervisors in accordance with established procedures.

Professional Development and Other Duties

  • Participate in training and professional development activities to maintain current knowledge of financial aid and scholarship regulations.
  • Assist supervisors and team leads with projects and deadlines as directed.
  • Perform other related duties related to the work described for a Financial Aid Counselor II.
Required Qualifications
  • Bachelor's degree.
  • At least two years of experience in student financial aid, student personnel administration, student services, or related experience.
  • Knowledge of basic federal, state, and institutional financial aid regulations.
  • Strong organizational, communication, and customer service skills.
  • Ability to manage multiple priorities in a fast-paced environment and meet required deadlines.
  • Willingness to work evenings and weekends during peak processing periods.
  • Must divest of any stock or ownership interest in a student loan lender prior to employment (per UT Austin Conflict of Interest policy).
  • As a condition of hire and continued employment, must be in good standing on all federal student loans and authorize access to NSLDS for verification.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications
  • Master's degree.
  • More than two years of experience working with financial aid or scholarship programs.
  • High attention to detail and strong problem-solving skills.
  • Ability to handle student interactions involving sensitive or complex financial issues with professionalism.
  • Proficiency with MS Word and Excel
Salary Range

$45,228.00 + depending on qualifications

Working Conditions
  • May work around standard office conditions.
  • Repetitive use of a keyboard at a workstation.
  • Position requires in-person work three days each week, with flexibility for remote work two days per week. Exceptions may be approved at supervisor discretion and for those qualified for ADA accommodations.
