This Tradeshow Planner (Congresses) will act as the primary client liaison and lead for assigned congress and tradeshow programs. You'll manage tradeshows through the implementation of strategy, delivery of program objectives, and execution of logistics, while working closely with clients, associations, and internal teams. This role is responsible for coordinating all aspects of congress and tradeshow planning from post-contract execution through final billing, ensuring seamless program delivery and exceptional client service.

This role requires direct experience supporting congresses, conventions, and tradeshow events, including booth logistics, attendee management, supplier coordination, and registration management. You will also manage congress calendars, registration websites, and tradeshow logistics through Cvent and related platforms to ensure successful program outcomes. What You'll Be Doing
  • Serve as the primary client liaison and lead for assigned congress and tradeshow programs, managing logistics, timelines, and execution from post-contract planning through final billing and reconciliation.

  • Support booth and tradeshow logistics, including coordinating booth setup, managing shipping of materials, overseeing ancillary meetings, purchasing access badges, and ensuring all onsite logistical needs are executed successfully.

  • Coordinate directly with associations, venues, and suppliers, managing room blocks, meeting space, accommodations, and all congress-related logistics to support program objectives.

  • Manage attendee registration and housing logistics, including gathering website requirements, supporting registration builds, processing registrations, and maintaining accurate attendee records and reporting.

  • Develop and maintain detailed congress and tradeshow timelines and schedules, ensuring deadlines, cancellation dates, and logistical milestones are tracked and met in accordance with client service level agreements and standard operating procedures.

  • Maintain ongoing client engagement and communication, participating in client and third-party meetings, providing status updates, and ensuring alignment with client goals, expectations, and servicing requirements.

  • Manage congress and tradeshow program data and reporting, utilizing Cvent and Excel to track rooming lists, attendee registration, transfers, arrivals and departures, and overall program performance.

  • Provide financial and budget support, tracking program expenses, managing allocated budgets, reviewing historical and current program data, and identifying opportunities for cost savings and operational efficiencies.

  • Manage congress calendars and registration platforms, including maintaining Cvent websites and Tradeshow Landing Pages to support attendee management and program logistics.

  • Partner with internal teams and stakeholders to ensure successful program execution, contributing to a collaborative team environment and supporting continuous improvement of client servicing and program delivery.

What You'll Bring
  • Bachelor's degree or equivalent experience required.

  • Prior experience supporting congress, convention, or tradeshow events required, including booth coordination, attendee registration, supplier coordination, and onsite logistics.

  • Experience working within meetings, events, hospitality, or tradeshow planning environments strongly preferred.

  • Strong organizational skills with the ability to manage multiple programs, deadlines, and competing priorities.

  • Excellent communication, interpersonal, and client service skills.

  • Experience using Cvent and event registration platforms for attendee management, reporting, and congress logistics.

  • Strong technical aptitude, including experience managing data, reporting, and program logistics using Excel and event management systems.

Nice to Have
  • Experience supporting healthcare, pharmaceutical, or association congress events.

  • Experience managing online registration systems and attendee management platforms.

  • Background in hospitality, hotel operations, or event coordination.

Things You Should Know
  • This role may require travel and onsite support based on client and program needs (up to 20%)

  • This is a remote role.
